Full‑Time | Multi‑Site Operations- 8 hours and 5 days a week
About the Role
We are hiring a Practice Manager to lead daily operations across multiple behavioral health/SUD sites. This role ensures patient access, provider coverage, documentation compliance, and revenue integrity. The manager oversees our adherence to our polcies and procedures.
Key Responsibilities
- Operations & Access
- Lead daily capacity planning and enforce coverage policies (no more than two staff out per cohort).
Clinical Coordination & Compliance
- Monitor documentation timeliness and completeness to meet company standards (≥98% on-time completion).
- Ensure QA audit readiness and close corrective actions within designated timeframes (≤14 days).
- Enforce medication follow-up workflows and clinical documentation standards.
- Lead implementation and adherence to operational policies and SOPs.
Scheduling, Productivity & Payroll Compliance
- Enforce daily productivity standards.
- Coordinate with Payroll to ensure accurate and compliant timesheet submissions.
- Govern Saturday work approvals, ensuring full work day schedules and compliance.
- Monitor minutes captured per day and provider productivity metrics.
Revenue Integrity & Performance
- Track and maintain clean claim rate and denial rate.
- Analyze denial trends and partner with Finance to implement process improvements.
- Monitor encounter mix, CPT utilization, and overall operational efficiency.
Leadership & Communication
- Lead daily operational huddles with clinical and scheduling leads.
- Support onboarding and competency tracking for new hires.
- Serve as first escalation point for facility or operational concerns.
- Maintain strong cross-functional communication with QA, Finance, clinical leadership, and scheduling teams.
- Drive consult-first scheduling to reduce therapy backlog and optimize encounter mix.
- Oversee telehealth workflows.
- Monitor time-to-first-consult and throughput metrics.
Qualifications
- Proven healthcare operations experience (behavioral health/SUD preferred).
- Strong leadership skills with experience managing KPIs and multi‑site workflows.
- Knowledge of telehealth, payer rules, and clinical documentation standards.
- Excellent communication and problem‑solving abilities.
- Knowledge of medical terminology related to behavioral health and substance use disorders is required.
- Experience with clinic operations, emphasis is on comprehensive healthcare practice management skills.
- Extensive knowledge of EMR/EHR systems such as Epic, ICantNotes, RXNT, Chart Path eClinicalWorks, Dentrix or similar platforms; proficiency in managing medical records and documentation standards.
- Familiarity with healthcare regulations including HIPAA compliance, JAHCO accreditation standards, managed care policies, and utilization management protocols.
Pay: $60,000.00 - $95,000.00 per year
