JOB TITLE: Pre-Caller
REPORTS TO: Clinical Director / Registered Nursed / Physicians

JOB SUMMARY:
The Pre-Caller is responsible for contacting patients prior to their scheduled procedures to review medical and preparation information, ensure all documentation is complete, and promote patient readiness for their upcoming appointment. This position requires excellent communication skills, attention to detail, and professionalism in patient interactions. The Pre-Caller functions cooperatively with physicians, nurses, and administrative staff to support smooth clinical operations and enhance patient satisfaction.
QUALIFICATIONS/EDUCATION:

High school diploma or equivalent required; medical assistant or healthcare experience preferred.

Minimum of one (1) year of experience in a medical office or clinical setting.

Knowledge of medical terminology, patient scheduling systems, and EMR documentation.

Excellent communication and customer service skills.

Ability to handle confidential information with discretion and professionalism.

Basic understanding of GI procedures and preparation guidelines preferred.

Maintains Basic Life Support (BLS) certification (preferred).
CETIFICATIONS/LICENSES:
PRIMARY RESPONSIBILITIES
Patient Communication and Education

Contacts patients prior to scheduled procedures to confirm appointment date, time, and arrival instructions.

Reviews preparation instructions for upcoming procedures (e.g., colonoscopy prep, fasting, medication restrictions) and ensures patient understanding.

Provides procedure reminders and answers basic patient questions within the scope of knowledge.

Ensures patients understand transportation requirements and post-procedure care instructions.
Patient Information and Documentation

Accurately enters and updates patient demographic and clinical information into the electronic medical record (EMR) system.

Verifies insurance and referral information as needed.

Documents all patient communications, confirmations, and special notes (e.g., allergies, special needs).

Reviews and confirms completion of required forms and consents prior to the procedure date.
Clinical Information Review

Reviews medical history, medications, and allergies with the patient prior to the procedure.

Flags any discrepancies, missing data, or potential contraindications for nurse or physician review.

Ensures patients are reminded to bring an updated medication list on the day of the procedure.
Collaboration and Coordination

Communicates effectively with the nursing and clinical teams regarding patient readiness, cancellations, or rescheduling.

Coordinates with front office staff to confirm accurate scheduling and documentation.

Reports any patient concerns or abnormal findings to the supervising nurse or physician promptly.
Customer Service and Professionalism

Provides courteous and empathetic service in all patient interactions.

Maintains patient confidentiality and adheres to HIPAA and facility privacy policies.

Contributes to a supportive, team-oriented work environment.

Perform other related duties as assigned by management.
PHYSICAL DEMANDS:

Work involves prolonged periods of sitting, using the telephone and computer, and occasional light lifting (up to 25 pounds).
