Pre-Litigation Receptionist/Assistant

In short: this is a legal assistant position that happens to also be the first-in-line for answering the main phone of a small firm, and sits out in the lobby as needed.

Seeking a bilingual, experienced personal injury receptionist to balance answering phone calls from clients, opposing counsel, and medical providers, with assisting the pre-litigation case manager.

Responsibilities:

  • Field all incoming calls in English and Spanish, gathering information about the caller and the subject, directing legitimate calls to staff and counsel, and sparing staff from spam and unsolicited calls.
  • Daily interactions with clients, adjusters, and medical providers to gather information.
  • Serving as the client’s liaison through pre-litigation.
  • Document all incoming and outgoing calls in case management software notes.
  • Reporting to and updating case managers on the status and specifics of each case.
  • Additional pre litigation clerical work, as trained up (medical records, LOPs, affidavits, handling incoming documents, retrieving and scanning mail)

Qualifications:

  • Entry-level position. Some receptionist experience or work in the legal field is nice-to-have. This is a train-up position.
  • Required to be bilingual in English and Spanish, spoken and written, and able to fluently interact with Spanish-speaking clients.
  • Nice-to-have: comfortable with the process of obtaining and organizing medical bills and records from providers and clearinghouses.
  • Ability to prioritize and multitask.
  • Excellent written and verbal communication skills.
  • Deadline- and detail-oriented.
  • Competency in a paperless office (digitization, shared cloud, case management software, collaborative editing and sharing of revisions)
  • Capable of using PDF software to edit, convert, redact, sign, form fill, extract, OCR documents.
  • Nice-to-have: Mac OS + case management software experience.
  • Ability to quickly adapt to new technological tools and processes as they are adopted.
  • Professional appearance and behavior expected.
  • Ability to maintain a high degree of discretion in dealing with confidential information.
