Position Overview:
We are seeking a highly organized, dependable, and hands-on Preschool Administrator Assistant to support both administrative operations and classroom activities. Our program serves children from infant to 5 years old, and this role is essential in maintaining compliance, supporting staff, and ensuring a safe, nurturing, and engaging environment for all children.
This is a dual-role position that requires strong administrative skills as well as the ability to step into classrooms and assist teachers as needed.
Key Responsibilities:
Administrative Duties:
- Maintain, organize, and audit children and staff files, ensuring all records are accurate, complete, and up to date
- Work closely with staff to ensure all required documentation, certifications, and clearances remain current
- Oversee CACFP (Child and Adult Care Food Program) compliance, including documentation and reporting
- Ensure adherence to all Department of Health (DOH) regulations and licensing requirements
- Assist with enrollment, attendance tracking, and administrative reporting
- Promote the school through flyers, outreach efforts, and other marketing initiatives
- Answer phone calls, respond to inquiries, and provide professional communication
- Conduct tours for prospective families
- Build and maintain positive, respectful relationships with families and staff
- Prepare for inspections and maintain all required documentation for compliance
Assistant Teacher Duties:
- Support lead teachers in daily classroom activities and routines
- Help maintain a safe, clean, and organized classroom environment
- Supervise children and ensure their safety at all times
- Assist with transitions, meals, nap time, and activities
- Engage with children in a nurturing, positive, and developmentally appropriate manner
- Help implement lesson plans and classroom activities as directed by the lead teacher
Qualifications:
- Experience in childcare administration, early childhood education, or a related field
- Knowledge of CACFP and DOH regulations (preferred)
- Experience working with children ages infant to 5 years old
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to balance administrative responsibilities with hands-on classroom support
- Proficiency in basic computer systems and administrative tools
