Job Summary
We are seeking a devoted Preschool Office Administrator to join our team. Preschool Office Administrator will be a highly organized and detail/oriented business professional with expertise in school office management, financial tracking, and parent relations. The Preschool Office Administrator manages the financial, operational, and compliance aspects of the preschool facility.
Responsibilities
- Assist in the development and managing of the school’s annual budget, include tracking expenses, managing payroll and allocating funds for supplies and facility maintenance.
- Administer tuition billing, process accounts payable/receivable, and manage financial reporting.
- Administer financial assistance programs, grant funding, and tuition collections.
- Assist in staff scheduling, onboarding, and benefits administration.
- Coordinate facility maintenance (with Church Office Manager)
- Manage vendor relationships, and supply procurement to ensure a safe and clean environment.
- Assist with family engagement and special events as needed.
- Oversee maintenance of accurate student and staff records.
- Ensure the school strictly adheres with local, state, and federal childcare licensing regulations, health codes, and safety standards.
- Manage student enrollment records, immunization compliance, and staff credential tracking.
- Assist in facility tours as needed.
- Handle student registration, and parent inquiries regarding tuition and billing.
- Assist in marketing the preschool to the local community to maintain high enrollment levels.
- And other duties as assigned.
Qualifications
- Proven experience in financial management, and office administration-ideally in an educational or childcare setting.
- Bachelor’s degree in Business Administration, Early Childhood Education, or a related field is typically preferred.
- Available for weekend/evening hours as needed for marketing and/or special events.
- Summer hours required: 2-4 weeks of part-time summer camp, additionally 1-2 days per week in June and July, with full-time hours starting on August 1.
- Proficient in basic computer applications (i.e. Microsoft Office/Google Drive) for enrollment, marketing, and community engagement.
- Strong proficiency in accounting software (e.g. Quickbooks, Brightwheel, Easy Care), excellent organizational abilities, and deep knowledge of state childcare licensing requirements.
- Lift a minimum of 40 pounds, and work indoors or outdoors as needed.
- NAEYC and DCFS state licensing knowledge (preferred).
- Certification: Current Infant/Child CPR and First Aid certification.
- Screening: Must clear a full background check and pass health screening.
Pay: $25.00 - $30.00 per hour
