Job Title: President's Assistant & HR Coordinator
Reports To: President
Classification: 12-month, Exempt, Full-Time (1.0 FTE)

De La Salle North Catholic High School provides a faith-based, college-preparatory high school education to underserved students from the Portland area. Our goal is to develop tomorrow’s community leaders by making high-quality education accessible to motivated young people in a learning environment that values cultural, spiritual, and ethnic diversity. Our educational approach provides each student with the opportunity to succeed through small classes, high expectations, and active participation in our Corporate Work Study Program (CWSP) affiliated with the nationally-recognized Cristo Rey Network.

POSITION SUMMARY
The President's Assistant & HR Coordinator reports to the President and supports the effective operation of both the Office of the President and the school’s human resources functions. This role provides confidential administrative support to the President and Board of Trustees—serving as corporate secretary for the school and recording secretary for the Board—and acts as a liaison with internal and external stakeholders. The position also coordinates key HR activities, including recruitment, onboarding, benefits administration, and employee recordkeeping. While not embedded within any single department, this role collaborates across multiple small teams to support school-wide operations and uphold the school’s mission through organized, responsive, and people-centered service.

ESSENTIAL JOB FUNCTIONS

Office of the President Duties
  • Answer phone/emails, greet visitors, maintain President’s files.
  • Maintain President's calendar; schedule appointments for President, as needed/requested.
  • Schedule Board of Trustees meetings and provide communication to its members.
  • Coordinate materials for Board meetings, including events, correspondence, and resolutions. Set up for meetings (materials, drinks, A/V equipment).
  • Act as liaison between President, De La Salle Institute (DLSI), and the Board.
  • Serve as Recording Secretary for Board (record minutes, send to Lasallian Education Corporation and Archives: minutes/documents/resolutions).
  • Distribute minutes to the Board and DLSI.
  • Create new Board member information packets.
  • Send all media publications naming DLSNC/students/staff, invitations, notices, programs, etc., to DLSI Archives.
  • Work with the Registrar in providing data reports to the Portland Archdiocese, State of Oregon, DLSI, and Cristo Rey Network (CRN) as needed.
  • Coordinate the information gathering for the CRN Annual Data Report.
  • Maintain contact information for all personnel: Emergency Contact, and directory of extensions and directory of all staff in conjunction with the IT Director.
  • Manage (approximately) quarterly birthday recognitions for staff.
  • Other duties as assigned.

Human Resources Coordinator Duties
  • Assists the President, Principal, and VP of Finance and Operations in the day-to-day operation of the school’s human resources activities. Implements personnel policies consistent with Employee and Family Handbooks.
    • Assists in the effective implementation of human resource programs.
    • Oversees the maintenance of employees’ personnel files and other confidential files.
    • Prepares and creates annual compensation arrangements for all employees.
    • Provides initial onboarding for all employees.
    • Maintains records and ensures compliance of employee safety trainings.

  • Directs staff in the processing of personnel/payroll transactions. Assists staff with problems encountered and observes for accuracy and completeness of appropriate documentation and forms.
    • Assists in the timely entry of data into the appropriate system by providing employees with information about the payroll system.
    • Assists with the proper administration of personnel payroll functions including salary changes, wage assessments, FSA deductions, Family and Medical leaves, etc.

  • Supports the position management and recruitment process for De La Salle North Catholic High School.
    • Helps to ensure position classification, recruitment, and employee selections are accomplished within acceptable time frames and in accordance with stated policy.
    • Recruits applicants using the most appropriate method. Reviews applicant pools on a regular basis to determine when expanded efforts are necessary.
    • Assists managers with developing job descriptions and salary ranges when necessary.
    • Reviews applicant selection data submitted by hiring manager for compliance with selection criteria and applicable rules and regulations.
    • Prepares offer of employment letters and submits to President for approval.
    • Maintains accurate and up-to-date recruitment and selection documentation for Equal Employment Opportunity Commission monitoring.

  • Works with administrative team members and HR consultant on specific human resource problems and concerns.
    • Collects and files data related to employees’ Performance Improvement Plans, and follows up with managers on any pending action items and documentation.
    • Strictly follows established procedures related to confidentiality of data.
    • Directs employees to resources and staff members, in order to resolve grievances.

  • Implements the operation of employee benefits and ensures compliance with applicable school benefit policies, state and federal laws.
    • Provides and disseminates benefits information. Direct employees to experts in benefit selection.
    • Conducts and/or supervises the annual “open enrollment” process within the directed timeframes.
    • Explains enrollment procedures and alternatives to employees in a complete, accurate and professional manner.
    • Enrolls employees into benefits plans in a timely manner using the benefits companies’ employer portals.
    • Provides accurate information to employees regarding payroll deductions, retirement, etc.

  • Researches, organizes, documents and completes special projects assigned by President.
    • Gathers appropriate statistics which reflect personnel activity (retention, average salary, benefit package costs/distribution, etc.)
    • Completes projects in a satisfactory, timely manner.
    • Demonstrates considerable interpersonal skills and judgment in representing the administration effectively in all interactions with personnel and external entities.

MINIMUM EDUCATION and/or EXPERIENCE
  • Associate or bachelor’s degree in communications or business-related field.
  • Minimum of three to five years’ experience working in an office environment, supporting the work of an executive member.
  • Demonstrated successful experience working in settings requiring a high degree of confidentiality and professional demeanor.

ANNUAL SALARY AND BENEFITS
Salary DOE. Generous benefits package includes: 10 days paid vacation, 2 weeks paid sick time, paid holidays, medical/dental/vision insurance with a shared premium cost, employer-paid life insurance and long-term disability insurance, and employee-paid voluntary insurance plans, and a 403(b) retirement savings plan with employer match.
