Prior Authorization & Patient Services Coordinator (MRI & Ultrasound)

We are currently seeking a full-time Prior Authorization & Patient Services Coordinator to join our team at Open MRI of Macon (1504 Hardeman Ave B, Macon, GA 31201).

This is an excellent opportunity for someone who thrives in a fast-paced outpatient healthcare environment and enjoys balancing insurance coordination with patient-facing responsibilities. This position serves as a key “swing” role, supporting both prior authorizations/insurance verification and front desk patient services as needed to ensure smooth daily operations.

Position Summary

The Prior Authorization & Patient Services Coordinator plays an essential role in helping patients access timely MRI and Ultrasound services by obtaining insurance authorizations, verifying benefits, coordinating communication between patients and referring providers, and assisting with front office operations.

This position requires strong attention to detail, excellent customer service, and the ability to shift priorities while maintaining a positive, patient-centered approach.

Key ResponsibilitiesInsurance Verification & Prior Authorization

  • Verify patient eligibility, benefits, and coverage for MRI and Ultrasound procedures.
  • Obtain and manage insurance prior authorizations and pre-certifications before scheduled appointments.
  • Interpret insurance policies, authorization requirements, and benefit limitations.
  • Review and process imaging orders received from referring physicians.
  • Gather required demographic and clinical information for insurance approval.
  • Coordinate and arrange Peer-to-Peer reviews when required.
  • Ensure authorization details align accurately with procedure coding and billing requirements.
  • Document all patient, insurance, and authorization activity thoroughly within patient records.

Patient Services & Front Desk Support (Swing Role)

  • Assist with front desk responsibilities as needed, including patient check-in/check-out and scheduling support.
  • Provide exceptional customer service to patients in a compassionate outpatient imaging environment.
  • Serve as a liaison between patients, insurance carriers, and referring physician offices.
  • Answer phones, assist with patient questions, and help maintain efficient patient flow.
  • Build strong working relationships with physician offices, referral coordinators, and patients.

Qualifications

  • 3+ years of prior authorization, insurance verification, or related medical office experience required
  • Experience in outpatient imaging, radiology, MRI, Ultrasound, or diagnostic healthcare strongly preferred
  • Knowledge of insurance benefits, pre-certifications, and medical terminology
  • Understanding of CPT/ICD coding and insurance authorization requirements preferred
  • Strong organizational and multitasking skills in a fast-paced environment
  • Excellent communication skills, both verbal and written
  • Ability to prioritize workload, meet deadlines, and adapt to changing daily needs
  • Positive attitude, dependable attendance, and team-oriented mindset

Education

  • High school diploma or equivalent required
