PRO & HR Operations Specialist

Job Overview

We are looking for a reliable and detail-oriented PRO & HR Operations Specialist to manage employee related government processes and internal HR operations. This role combines PRO responsibilities (visa, labor, compliance) with employee services and HR operations, ensuring smooth employee lifecycle management and a high-quality employee experience.

Key Responsibilities 1. PRO & Government Relations
  • Manage end-to-end visa processes, including applications, renewals, cancellations, and status changes, ensuring timely completion with minimal risk of penalties
  • Liaise with UAE government authorities (MOHRE, GDRFA, immigration, free zones, etc.) to ensure full compliance
  • Manage company license, establishment card, and Dubai Chamber membership renewals, ensuring all regulatory deadlines are met
  • Handle company and employee document notarization and attestation processes
2. Insurance & Medical Management
  • Manage annual medical insurance renewal (group and individual), including planning, documentation, vendor coordination, and internal approval processes
  • Support employees and their dependents with insurance enrollment, cancellation, claims, and reimbursements, ensuring smooth and timely processing
  • Assist in organizing insurance orientation sessions and guidance to improve employee understanding and utilization
3. Employee Services & Experience
  • Provide day-to-day employee support and act as a key contact for service requests, primarily related to visa and medical insurance
  • Prepare and issue company documents (e.g., true copy of trade license, certificate of incorporation, corporate registration, etc.) and employee documents (employment certificates, NOCs, salary letters, etc.) via relevant government portals as required
  • Support employee engagement initiatives and welfare activities, including assisting in organizing internal events and employee care programs
4. Expense & Reimbursement Management
  • Manage and track all relevant expenses under responsibility (e.g., visa, license, medical insurance, attestation, etc.)
  • Handle reimbursement processes for both government-related and employee-related expenses under responsibility
  • Ensure timely submission, accurate documentation, and close coordination with Finance Team
5. Documentation & Record Management
  • Maintain and update company licenses, employee records, and official documentation in a compliant, well-organized, and audit-ready manner
  • Ensure all records are accurate, complete, and properly filed in accordance with internal policies and regulatory requirements
  • Support audits, documentation checks, and reporting when required
Requirements Must Have
  • 2-5 years of hands on experience in UAE PRO, HR Operations, or Shared Services
  • Strong knowledge of UAE visa processes, labor laws, and government platforms (MOHRE, GDRFA, Free Zones, etc.)
  • Hands on experience in company license renewal, document attestation, and compliance processes
  • Familiar with medical insurance operations (renewal, claims, enrollment, cancellation)
  • Experience handling expense tracking and reimbursement processes
  • Strong attention to detail with a high level of accuracy and accountability
  • Ability to manage multiple tasks and meet deadlines in a fast paced environment
  • Strong ownership and execution ability
