Role Overview
We are hiring a Procurement & Inventory Analyst Associate to strengthen procurement execution, cost governance, and inventory control across properties.
This role requires:
- Strong Excel capability
- Structured documentation habits
- Vendor coordination discipline
- Data-driven thinking
- High attention to detail
This is not a clerical role.
This is an operational analytics role with ownership expectations.
Key Responsibilities
1. Purchase Order (PO) Drafting & Procurement Execution
- Draft and release Purchase Orders (POs) accurately
- Validate vendor quotations before finalization
- Ensure PO alignment with approved budgets
- Maintain rate comparison sheets
- Track PO lifecycle (Issue → Delivery → Invoice → Closure)
- Maintain proper digital documentation of all procurement records
- Coordinate with Operations and Finance for approvals
2. Inventory Management & Control
- Maintain central inventory trackers (Excel-based)
- Track property-wise stock consumption
- Monitor minimum stock levels and reorder points
- Conduct periodic reconciliation (Physical vs System stock)
- Identify discrepancies, damages, and stock variances
- Maintain inward/outward inventory records
- Generate structured inventory reports for management review
3. Cost Monitoring & MIS Reporting
- Track monthly procurement spend
- Prepare budget vs actual comparison reports
- Identify cost variances and highlight inefficiencies
- Support monthly MIS reporting
- Build structured dashboards (Excel / Power BI preferred)
4. Vendor Coordination & Governance
- Maintain updated vendor database
- Track vendor performance and delivery timelines
- Follow up on delayed supplies
- Ensure proper documentation and compliance adherence
Technical Skills Required (Non-Negotiable)
- Advanced Excel proficiency
- Pivot Tables
- VLOOKUP / XLOOKUP
- IF formulas
- Data cleaning and formatting
- Working knowledge of Power BI (Dashboard creation preferred)
- Proficiency in MS Office tools
- Basic understanding of procurement cycle & documentation
Ideal Candidate Profile
- 1–3 years of experience in Procurement / Inventory / MIS / Supply Chain
- Strong numerical accuracy
- Detail-oriented and process-driven
- Comfortable handling large data sheets
- Strong follow-up and coordination ability
- Able to work in a structured, performance-driven environment
Candidates without hands-on Excel proficiency will not be considered.
