Job description

Mad Systems Inc., a leading innovator in audiovisual and interactive systems, is seeking a highly organized Procurement and Logistics Specialist to manage inventory, goods inward, shipping, and the transfer of items from stock to projects. Responsibilities include project-based procurement, warranty tracking, vendor relationships, and control over all goods entering and leaving the building. Additionally, the role provides administrative support as needed, including answering phones, scheduling, and general office tasks.

Key ResponsibilitiesProcurement and Vendor Management:

  • Source, negotiate, and purchase equipment and materials.
  • Create and manage purchase orders, ensuring timely and accurate order processing.
  • Maintain and update procurement records, including vendor agreements and order histories.
  • Develop and maintain strong relationships with vendors to ensure competitive pricing, quality, and on-time deliveries.
  • Identify opportunities for cost savings and process improvements.
  • Track usage and generate inventory reports to support procurement planning.
  • Ensure all goods are properly labeled, stored, and tracked upon arrival and departure from the facility.
  • Maintain detailed records of equipment identification and warranty information.

Logistics Coordination:

  • Coordinate the shipping, receiving, and delivery of materials and equipment.
  • Book and track shipments, ensuring timely and cost-effective transportation.
  • Communicate delivery schedules, ETAs, and any shipping issues to internal teams.
  • Oversee internal inventory transfers and maintain accurate inventory levels.
  • Book and manage shipping for AV equipment and materials required for on-site installations.
  • Coordinate shipping schedules to align with project timelines.

Installation and Site Logistics:

  • Arrange travel accommodations for installation teams, including flights, hotels, and transportation.
  • Ensure travel itineraries are aligned with project schedules and installation requirements.

Administrative Support (As Needed):

  • Answer and direct phone calls professionally and promptly.
  • Track expense reports and manage receipts for reimbursement and record-keeping.
  • Handle office correspondence, document management, and general administrative tasks.

QualificationsEducation & Experience:

  • Bachelor’s degree in a relevant field (preferred).
  • 3+ years of experience in procurement or inventory management, preferably in a project-based role.

Skills & Competencies:

  • Proven experience in procurement, logistics, or supply chain management.
  • Strong communication skills with the ability to interact professionally with vendors, clients, and internal teams.
  • Experience booking and managing shipping for both internal transfers and installations.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite, Google Workspace, and QuickBooks.
  • Excellent negotiation and vendor management skills.
  • Ability to prioritize tasks, meet deadlines, and work independently.
  • Experience in the AV industry is a plus.

Physical Requirements:

  • Ability to lift and move equipment as needed (Packages, etc.)
  • Adaptability to dynamic environments and tight deadlines

Pay: $60,000.00 - $70,000.00 per year
