Procurement Officer

Location: Production City,Dubai
Employment Type: Full-time
Reports To: Procurement Manager

We are seeking a highly organized and detail-oriented Procurement Officer to manage sourcing, purchasing, and supplier coordination for interior fit-out projects. The ideal candidate will have strong negotiation skills, a keen eye for quality, and experience in managing vendors, materials, and FF&E (Furniture, Fixtures & Equipment) within the construction or interior design industry.

Key Responsibilities:

1. Supplier and Vendor Management

  • Source and establish partnerships with reliable suppliers and vendors for materials, finishes, and FF&E.
  • Negotiate competitive prices, delivery terms, and payment schedules to ensure cost-effective procurement.
  • Evaluate supplier performance regularly to ensure consistent quality and reliability.

2. Material Procurement and Inventory Management

  • Procure materials according to project specifications and design standards.
  • Track and manage inventory levels to ensure timely availability without overstocking.
  • Organize material storage and handling on-site or in warehouses to maintain quality and accessibility.

3. Cost and Budget Management

  • Assist in developing and monitoring procurement budgets.
  • Conduct cost analysis and identify cost-saving opportunities without compromising quality or project timelines.
  • Track procurement expenses and provide regular budget performance reports.

4. Vendor and Supplier Relationship Management

  • Build and maintain strong relationships with vendors and suppliers.
  • Address and resolve issues related to quality, delivery delays, or discrepancies.
  • Coordinate closely with suppliers to ensure timely delivery of materials.

5. Project Coordination and Collaboration

  • Work closely with project managers, designers, and contractors to align procurement with project schedules.
  • Ensure timely delivery of materials to avoid project delays.

6. Contract Negotiation and Compliance

  • Negotiate supplier contracts, ensuring favorable pricing, delivery, and warranty terms.
  • Ensure compliance with all contractual obligations, building codes, and safety regulations.

7. Quality Control and Compliance

  • Verify that all procured materials meet quality standards, specifications, and project requirements.
  • Conduct material inspections to ensure suitability and alignment with client expectations.

8. Sustainability and Green Procurement

  • Source sustainable and eco-friendly materials in line with company sustainability goals.
  • Stay updated on green building products and procurement best practices.

9. Risk Management

  • Identify and mitigate potential procurement risks, including supply chain disruptions or quality issues.
  • Develop contingency plans to minimize project impact.

10. Reporting and Documentation

  • Maintain accurate procurement records including purchase orders, invoices, and delivery receipts.
  • Provide regular updates on procurement status, deliveries, and potential risks.

11. Team Collaboration and Communication

  • Communicate effectively with internal teams to ensure alignment across design, procurement, and project execution.
  • Provide timely updates on material lead times and delivery schedules.

12. Client Liaison

  • Collaborate with clients to understand and fulfill their procurement needs and expectations.
  • Address client inquiries related to materials, delivery timelines, and project specifications.

Qualifications:

  • Bachelor’s degree in Supply Chain Management, Procurement, Business Administration, or related field.
  • Minimum 10 years of experience in procurement, preferably within interior fit-out, construction, or design industries.
  • Strong negotiation, communication, and organizational skills.
  • Proficiency in MS Office and procurement management software (e.g., SAP, ERP systems).
  • Knowledge of materials, finishes, and FF&E sourcing.
  • Understanding of building codes, safety, and sustainability standards is a plus.

Job Type: Full-time

Pay: AED4,000.00 - AED10,000.00 per month
