PTWL is seeking a detail-oriented and proactive Procurement Officer to manage sourcing, purchasing, and supplier coordination for landscaping projects. The ideal candidate will ensure cost-effective procurement, timely material delivery, and compliance with company procedures and project requirements.
Key ResponsibilitiesVendor Sourcing & Supplier Management
- Research and identify potential vendors and suppliers.
- Develop and implement effective procurement and sourcing strategies.
- Discover and initiate partnerships with reliable and profitable suppliers.
- Compare and evaluate supplier quotations and proposals.
- Present vendor comparison reports for approval by Finance and Accounts prior to purchase.
- Negotiate contract terms, pricing, and delivery conditions to secure advantageous agreements.
- Collaborate with internal stakeholders to clarify specifications and expectations.
Procurement Operations
- Manage procurement team activities and oversee daily purchasing operations.
- Track purchase orders and ensure timely delivery of materials and equipment.
- Monitor stock levels and place orders as required.
- Review quality of purchased products to ensure compliance with project standards.
- Coordinate with warehouse staff to ensure proper storage and handling of materials.
Documentation & Reporting
- Enter order details (vendors, quantities, prices) into internal databases accurately.
- Maintain updated records of purchased products, delivery information, and invoices.
- Ensure proper receipt of supplier documents and timely submission to the Accounts and Finance department.
- Prepare purchase reports, cost analyses, and budget tracking summaries.
- Track and report key procurement metrics to reduce costs and improve efficiency.
- Prepare monthly progress reports for assigned projects, including schedule updates and cost analysis.
- Prepare correspondence and procurement-related documentation for projects.
Requirements
- Proven experience in procurement, purchasing, or supply chain management (preferably in landscaping or construction industry).
- Strong negotiation and vendor management skills.
- Good understanding of budgeting and cost control principles.
- Proficiency in MS Office (especially Excel) and procurement systems.
- Strong analytical, organizational, and documentation skills.
- High attention to detail and ability to work under deadlines.
- Bachelor’s degree in Supply Chain Management, Business Administration, or related field preferred.
