Procurement Operation Specialist

Summary:

The Procurement Operations Specialist applies expertise in operations to support core pre-construction Procurement functions, including contract administration, Purchase Order management, vendor documentation workflow, schedule tracking, and procurement systems maintenance. This role is process-oriented with emphasis on managing risk, ensuring compliance, maintaining continuity, and enabling activities of technical staff.

Essential Duties and Responsibilities:

  • Contracting: Coordinate contract negotiations using Contract Lifecycle Management (CLM) software. Track contract obligations across projects, particularly for varied upstream flow-down requirements and ensure post-execution compliance.
  • Develop and improve systems for tracking pre-construction project schedules and flag procurement-related risks.
  • Administer certain pre-construction Purchase Orders to minimize risk including payment milestones, cancellation fee exposure, and tax compliance documentation.
  • Build and maintain procurement systems, logs, and dashboards to support team visibility and process improvement. Ensure compatibility and integration with systems in place with other departments.
  • Ensure technical staff meet project milestones including vendor drawing and submittal review workflows and factory QA/QC audits.
  • Collaborate with cross-functional groups including Front-End, Development, Engineering, Treasury, and Construction.
  • Assist in preparing reports, trackers, and summaries for leadership as needed.

Education and/or Work Experience Requirements:

  • Bachelor’s degree (supply chain, business, or related field preferred).
  • 2-4 years of relevant operations experience, especially in procurement, contracts administration, or project coordination.
  • Experience with process improvement and operational reporting.
  • Advanced proficiency with PowerBI, PowerAutomate, P6, Ironclad, and/or other reporting software.
  • Familiarity with solar or BESS technologies is a plus but not required.
  • Ability to interpret contractual terms and track complex multi-project obligations.

Physical Requirements/Work Environment: Work is performed in an office environment.
