Reporting t o : Procurement Manager


Job Responsibilties:


Procurement Operations


  • Review and process purchase requisitions from various departments.
  • Source and evaluate suppliers to ensure quality, cost-effectiveness,and compliance with school standards.
  • Prepare and issue Requests for Quotation (RFQs), Requests for Proposal (RFPs), and purchase orders.
  • Negotiate terms, prices, and delivery schedules with vendors.
  • Ensure all procurement activities are in line with school procurement policies and procedures.


Vendor Management


  • Maintain a database of approved and potential suppliers.
  • Conduct vendor evaluations and performance reviews in collaboration with the Procurement Manager.
  • Build strong, ethical relationships with suppliers to support long-term partnerships.


Compliance & Documentation


  • Ensure all procurement activities follow internal controls,financial guidelines, and ethical standards.
  • Maintain accurate and up-to-date records of contracts, purchase orders, and supplier communications.
  • Support audit requirements by providing necessary procurement documentation.


Cost & Quality Control


  • Monitor market trends and pricing to achieve best value for money.
  • Ensure timely delivery of goods and services to support school operations.
  • Track procurement expenses to prevent overspending and reduce waste.


Support & Collaboration


  • Work closely with the Procurement Manager to prioritize procurement requests and manage workload.
  • Coordinate with Finance, Academics, Boarding, Dining, and Facilities teams to ensure smooth procurement processes.
  • Provide feedback to requesters regarding order status, delays, or alternative sourcing options.



Qualifications & Skills


  • Bachelor's degree in Business Administration, Supply Chain, Finance,
  • or related field.
  • Minimum of 2-3 years' experience in procurement or supply chainmanagement, preferably in education, hospitality, or service industries.
  • Strong negotiation, communication, and analytical skills.
  • Knowledge of procurement systems, vendor management, and contract administration.
  • High ethical standards and integrity.
  • Ability to work under pressure and manage multiple priorities.
