Job Description for Product Owner – HRMS Software

We are currently seeking a skilled Product Owner to join our team and lead the development of our Human Resource Management System (HRMS) software.

Role Summary

The Product Owner (PO) for HRMS Software is responsible for managing the lifecycle of a Human Resource Management System that supports end-to-end HR, payroll, compliance, and employee self-service workflows across organizations. The PO bridges HR and business user needs with software development teams to deliver secure, scalable, and user-friendly digital solutions that improve operational efficiency, statutory compliance, and employee experience.

  • Location: Pune, India
  • Work Schedule: Monday to Friday, in-office
  • Experience Required: 5+ years

Key Responsibilities

  • Product Vision and Strategy: Define and communicate the product vision, strategy, and roadmap for the HRMS platform, ensuring alignment with business goals.
  • Backlog Management: Develop, prioritize, and maintain the product backlog, ensuring it reflects user needs and business value.
  • Stakeholder Collaboration: Work closely with cross-functional teams including engineering, UX/UI design, QA, marketing, sales, HR, payroll, finance, and compliance stakeholders to gather requirements and translate them into actionable user stories.
  • Agile Methodology: Lead Agile ceremonies such as sprint planning, backlog refinement, reviews, and retrospectives to ensure effective product delivery.
  • User-Centric Development: Analyze customer feedback and market trends to inform product enhancements and ensure a user-first approach for both HR teams and employees (ESS/MSS).
  • Performance Tracking: Monitor product performance post-launch using analytics/KPIs to drive continuous improvement and inform future development cycles.
  • Go-to-Market Strategy: Collaborate with marketing and sales teams to define go-to-market plans for new features and support successful product launches with demos and documentation.
  • End-to-End Product Ownership: Own the HRMS product lifecycle—from ideation and requirement gathering to deployment, adoption, and optimization.
  • Requirements & Process Understanding: Gather and prioritize requirements from HR teams, managers, employees, payroll teams, finance, and IT operations.
  • Specifications & Documentation: Translate business requirements into clear user stories, functional specs, workflows, and acceptance criteria.
  • Integrations: Coordinate integrations with third-party systems such as biometric/attendance devices, email/SMS gateways, accounting/ERP tools, SSO/identity providers, and other HR/payroll partners.
  • Compliance & Security: Ensure the product supports statutory compliance (e.g., PF/ESI/PT/TDS as applicable), audit trails, role-based access, and secure handling of employee data.
  • Release Planning: Develop release plans and communicate progress, risks, and timelines to leadership and stakeholders.
  • Data-Driven Improvements: Analyze HRMS usage data to identify adoption gaps, inefficiencies, payroll/attendance issues, or areas for automation and improved employee experience.

Qualifications

  • Education: Bachelor’s degree in Computer Science, Engineering, Business, or a related field.
  • Experience: Minimum 5 years of experience as a Product Owner or similar role in software development; experience with HRMS/payroll/ERP is strongly preferred.
  • Technical Skills: Strong understanding of Agile methodologies; familiarity with software development processes and tools is essential.
  • Communication Skills: Excellent verbal and written communication skills with the ability to engage stakeholders at all levels.
  • Analytical Skills: Proven ability to analyze data, customer feedback, and market trends to inform product decisions.

Preferred Skills

  • Hands-on experience with HRMS/payroll products and HR operational workflows.
  • Working knowledge of payroll concepts and statutory compliance in India (PF/ESI/PT/TDS) or relevant geographies based on customer base.
  • Familiarity with integrations/APIs (REST), SSO (SAML/OAuth), and secure data practices (RBAC, audit logs).
  • Familiarity with product/project tools such as JIRA, Trello, Confluence, Figma.
  • Strong stakeholder management and ability to work across UX/UI, engineering, QA, sales, and customer success.
  • Understanding of privacy and compliance frameworks (e.g., GDPR, India DPDP Act) and secure handling of employee data.
