About the Role
This role sits between order entry and production. Your job is to make sure every order is complete, accurate, approved, and fully ready before it hits the production floor.
This is not a traditional graphic design role — and it’s not a basic admin position. It’s a detail-driven, process-focused role with light artwork support.
You’ll work with order details, artwork files, spreadsheets, and vendor systems to keep jobs moving efficiently and prevent issues before they happen.
What You’ll Be Doing
Order Accuracy & Readiness
- Review incoming orders for completeness and accuracy
- Verify sizes, quantities, artwork, and notes
- Ensure purchase orders and work orders align
- Catch and resolve issues before production begins
Artwork Coordination & Support
- Manage artwork approvals (embroidery, screen print, DTF, etc.)
- Ensure correct file formats (AI, PDF, PNG, DST, etc.)
- Perform light edits in Illustrator / Photoshop
- Attach correct files to each order
Production Preparation
- Generate labels from spreadsheets
- Prepare job packets and production documentation
- Ensure jobs are fully ready before release
Order Tracking & Vendor Coordination
- Track order status across active jobs
- Work with vendor portals (SanMar, S&S, etc.)
- Anticipate delays and communicate proactively
Artwork Organization
- Organize and maintain artwork files
- Keep a clean, searchable file system
Requirements
- Intermediate Excel / spreadsheet skills
- Experience with Illustrator and/or Photoshop (for edits, not full design)
- Strong attention to detail and organization
- Ability to manage multiple tasks and deadlines
- Clear written communication
Preferred
- Print, embroidery, promo product, or apparel experience
- Experience with DecoNetwork or similar systems
- Familiar with Ship Station for shipping
- Familiarity with production file types
- Knowledge of Microsoft tools Word, Excel, Teams, Sharepoint

Compensation & Details
- Pay: Pay: $19–$24/hr + quarterly profit-sharing bonus based on company performance
- Full-time, Monday–Friday
- On-site preferred (Indialantic/Melbourne)
- Hybrid flexibility for experienced candidates
