Position Overview

We are hiring a Production & Fulfillment Team Lead to own daily shipping output and coordinate production execution across our operation.

This role is responsible for executing fulfillment, managing shipping operations, and ensuring all orders meet SLA requirements.

You will take ownership of:
- Supplies & Parts Fulfillment
- DTF Transfer Production Oversight

PRIMARY: Supplies & Parts Fulfillment (Hands-On Execution)
- Own the full fulfillment process: picking, packing, and shipping daily orders
- Ensure all supplies and parts orders are shipped accurately and on time
- Maintain high shipment accuracy standards (zero-defect mindset)
- Schedule and coordinate daily carrier pickups (UPS, FedEx, freight, LTL)
- Prepare and manage freight shipments, including pallets and documentation
- Prioritize orders based on SLA commitments and shipping cutoffs
- Maintain an organized and efficient fulfillment area

Secondary: DTF Transfer Production Oversight

- Oversee daily transfer production workflow managed by production staff

- Ensure production output aligns with order deadlines and SLAs
- Coordinate with production team to prioritize jobs and manage flow
- Step in as needed to support production during peak demand or issues
- Ensure completed transfer orders are properly staged and shipped

SLA & Shipping Performance

- Own and enforce SLAs for all outgoing shipments

- Ensure same-day or next-day fulfillment targets are consistently met

- Monitor and improve on-time shipping performance

- Reduce shipping errors, returns, and rework

- Setting and enforcing work schedules to ensure coverage

- Developing a skills matrix to ensure coverage of all processes across entire team

Production Oversight (DTF Transfers)

- Oversee daily transfer production workflow managed by production staff
- Ensure production output aligns with order deadlines and SLAs
- Coordinate with production team to prioritize jobs and manage flow
- Step in as needed to support production during peak demand or issues
- Ensure completed transfer orders are properly staged and shipped

Team Leadership (Player/Coach)

- Lead from the front through direct execution and accountability
- Set daily priorities across fulfillment and production coordination
- Support and guide production staff without micromanaging
- Reinforce expectations around speed, accuracy, and quality

Inventory & Workflow Control

- Monitor inventory levels of consumables, parts, and shipping materials
- Prevent stockouts that could delay fulfillment or production
- Maintain clean, organized workflows for both fulfillment and production areas

Quality & Accuracy

- Ensure all outgoing shipments meet strict accuracy standards

- Catch and correct errors before orders leave the facility

- Maintain consistency across both supplies fulfillment and transfer shipments

Start of Day (Morning Setup & Planning)

You start the day by reviewing all open orders across both supplies/parts and DTF transfers.

• Identify priority orders based on shipping SLAs and deadlines
• Check carrier pickup schedules and cutoff times for the day
• Review any carryover orders or issues from the previous day
• Align with the production team on current transfer jobs and timelines

The goal: have a clear execution plan before the day starts

Mid-Morning (Fulfillment Execution)

The majority of your day is spent on the floor executing fulfillment.

• Pick, pack, and ship supplies and parts orders
• Ensure all orders are accurate and properly labeled
• Coordinate and prepare freight shipments (LTL/palletized orders)
• Stage shipments for carrier pickup

You are actively:

• Moving fast
• Staying organized
• Catching mistakes before they happen

You are the owner of shipping output

Throughout the Day (SLA & Workflow Management)

As orders come in and production progresses, you:

• Continuously prioritize orders based on cutoffs and urgency
• Ensure nothing slips past shipping deadlines
• Adjust workflow as volume changes
• Resolve issues quickly (missing items, delays, errors)

You also:

• Coordinate with production to ensure transfer orders are completed on time
• Make sure finished jobs are staged and ready to ship

The goal: everything flows — no bottlenecks, no missed shipments

Afternoon (Final Push to Ship)

As carrier cutoff times approach, urgency increases.

• Finalize all shipments for the day
• Double-check accuracy on outgoing orders
• Ensure all packages and freight are staged and ready
• Coordinate directly with carriers for pickup
