Who we are seeking:

As the Business Development Services (BDS) Program Coordinator, you will provide high level, professional administrative support for Programs at CEI including Business Development Services, the CEI Women’s Business Center (“WBC”), Child Care, Sustainable Agriculture and Food Systems, and Business Sustainability teams, with a focus on internal and external customer service, event planning, marketing, resource management.


You have experience working on multiple projects and teams while keeping up with your daily tasks.
You possess high attention to detail and accuracy, especially in writing and proof reading.
You have experience working with a Client Relationship Management System (e.g. Salesforce).
You are curious, motivated, and a self-starter, and once trained, able to complete tasks with minimal supervision.
You are proficient in the use of Microsoft Excel, and Microsoft Office Suite in general, and creative tools like Canva or Adobe to create material.
You bring valuable organizational skills that allow you to manage your time, prioritize, and meet competing deadlines.
You are a great communicator and enjoy connecting with customers to help them with questions and troubleshooting.

Some of your key responsibilities in this role will be:

Advising Intake: manage and triage requests via email and phone, gather client information, and assign to advisors or appropriate referrals.

Marketing and Outreach: Promote events and recorded content on public calendars, draft social media posts, and create flyers using approved templates via Canva.

Workshop Logistics: Create and manage EventSpark listings, coordinate facilitator schedules and provide on-site or Zoom hosting as the CEI representative. This includes ordering food, managing vendors, and organizing volunteers for in-person events. Assist with major events including the Ag Trade Show and Women Mean Business Summit including volunteer support, vendor coordination, and set up. Organize and manage the library of recorded workshops.

Data and Systems: Manage Salesforce data entry and error correction, assist business advisors in gathering client attribution and other duties as a assigned Financial Administration: Assists with the management of contracts with consultants and facilitators by processing contractor and vendor invoices and payments.

Program Staff Support: Provide administrative assistance to the CEI Business Legacy Lab initiative and other duties as assigned. Provide staff support for basic questions and tasks; record meeting minutes for BDS meetings.

Maine Women’s Business List Directory: handle listing requests and modifications, create social media posts and newsletter content, maintain directory website.

Client Resources: Collaborate with business advisors and Marketing team to develop branded templates for client-facing materials. Manage our annual client outreach survey. Help refine and improve a list of professional referrals for small businesses, including accountants, lawyers, graphic designers, insurance agents, etc. in all our State’s region.

Preferred candidates will have:

High School equivalent and at least two years of relevant experience, or associate degree with business, marketing or related field.

Experience with customer service and CRM system is a plus.

Experience performing administrative duties with sharp organizational and time management skills.

Experience and knowledge with event planning and logistics.

Proficiency with Microsoft Office suite, and Canva.

Excellent verbal and written communication, understanding of different communication channels and literacy levels.

Ability to adapt and embrace change.

Other details:
This is a full-time non-exempt position, with excellent benefits and generous time off. The posting range is $26 -$28 hourly. We work in a hybrid model, two days in the office, and three days at home. This position is based at our headquarters in Brunswick, ME.
