STEAMUP Academy is an accredited small private education organization dedicated to accelerating the education and opportunities of children ages 5 - 13 in the fields of Science, Technology, Engineering, Arts, and Mathematics. Through coding, robotics, engineering, cyber security, animation, and digital design, we prepare students to solve real-world problems and build a foundation for future careers in technology and innovation.

Our offerings include a K-8 private school, before/after-school programs, homeschool enrichment, Saturday classes, private tutoring, summer and spring camps, and on-site/off-site STEM programs delivered directly to private school campuses through contracted partnerships. Position Summary

STEAMUP Academy is seeking an organized, dependable, and people-focused Program Manager to oversee the day-to-day operation of our programs and staff, run the front desk, and serve as a direct right hand to the Director. This role is central to keeping our academy running smoothly — from managing instructors and class schedules, to being the friendly face and voice families interact with at the front desk, to keeping the Director on top of tasks and deadlines. The ideal candidate is a natural multitasker who thrives on structure, communicates warmly with families and staff, takes ownership of getting things done, and is fluent in both Spanish and English.

Key Responsibilities

Program & Staff Management

  • Oversee daily operations of STEAMUP Academy's programs, including our K-8 private school, afterschool, homeschool, Saturday classes, tutoring, and camps
  • Schedule, coordinate, and support instructors and staff to ensure classes run on time and to a high standard
  • Monitor program quality and student experience, addressing issues as they arise
  • Help onboard, train, and evaluate new staff members and volunteers
  • Coordinate logistics for special programs, field trips, in-school partnerships, and STEM family nights

Front Desk & Family Relations

  • Serve as the first point of contact at the front desk, greeting students, parents, and visitors with warmth and professionalism
  • Answer and direct incoming phone calls and emails, and respond to walk-in inquiries about programs and enrollment
  • Manage student check-in/check-out, sign-in sheets, and daily attendance tracking
  • Process new student enrollments, registration paperwork, and required forms (liability waivers, emergency contacts, private school admissions/records, etc.)
  • Handle scheduling and rescheduling of classes, tutoring sessions, and camp registrations
  • Field billing and payment questions, collect payments, and coordinate with families on invoices or balances due
  • Keep the front desk/lobby area organized, stocked, and presentable at all times
  • Manage incoming/outgoing mail, packages, and deliveries
  • Maintain and update the student/family database (contact info, enrollment status, notes)

Direct Support to the Director/Owner

  • Act as a right hand to the Director, managing their calendar, appointments, and deadlines
  • Track the Director's to-do list and proactively follow up so tasks don't fall through the cracks
  • Draft and send correspondence (emails, letters, forms) on the Director's behalf
  • Prepare reports, presentations, and program materials as requested
  • Research vendors, pricing, or program ideas and summarize findings for decision-making
  • Attend meetings alongside or on behalf of the Director and provide notes/follow-up
  • Handle confidential information with discretion and professionalism

Operations & Administration

  • Maintain accurate records for students, staff, and program operations
  • Assist with ordering supplies, managing vendor relationships, and basic budget tracking
  • Take initiative on ad hoc projects and tasks to keep the academy moving forward

Qualifications

  • Bilingual required: must be fluent in both written and spoken Spanish and English, and comfortable communicating with families and staff in either language
  • Prior experience in program coordination, office management, or operations (education or childcare setting preferred)
  • Strong organizational skills with the ability to manage multiple programs and priorities at once
  • Comfortable supervising and motivating a team of instructors and staff
  • Excellent communication skills, especially with parents and children
  • Proficiency with basic office software (Google Workspace/Microsoft Office) and scheduling tools
  • A genuine interest in STEM education and youth development
  • Background check clearance required (working with children)

Programs run on schedule, staff feel supported, families feel welcomed from the moment they walk in the door, and leadership can count on tasks being followed through without needing to ask twice.

Pay: $42,000.00 - $55,000.00 per year
