Job Description - Program Manager for Institute for Transnational Arbitration

The Center for American and International Law seeks a self-motivated and goal-oriented Program Manager (PM) with experience managing multiple work streams and prioritizing tasks to orchestrate the completion of projects. The person hired for the position will be an important member of a team serving the Center’s Institute for Transnational Arbitration (ITA).

CAIL was formed in 1947 by Robert Storey after his service as a prosecutor at the Nuremberg (Nazi War Crimes) Tribunal. Storey recognized the need for an organization to provide continuing education for lawyers and to promote the rule of law. CAIL has fulfilled this mission by training attorneys and law enforcement professionals from over 130 countries on a broad range of issues.

Forty years ago, CAIL established the ITA as a membership organization to promote the legal field of international arbitration (a process of private adjudication for commercial disputes involving parties from different nations). The ITA membership consists of lawyers, scholars, and arbitrators from around the world who practice in this field. The ITA enhances professionalism and promotes excellence by supporting goals-oriented committees and task forces, organizing up to five substantial in-person conferences and a range of online programs each year, publishing newsletters, leveraging social media, and supporting scholarship and research databases through the efforts of volunteer leaders.

Candidates must be dedicated to quality customer service and enjoy working with people of diverse backgrounds, including an international clientele. CAIL programs reach institute members and other stakeholders from around the world.

This position will report to the Director of the ITA, and work in close collaboration with the ITA Staff Assistant and shared services employees of CAIL.

Key Responsibilities

The Program Manager (PM) oversees administrative and logistical functions that implement ITA’s programs. This role plays a critical part in ensuring the successful execution of programs and membership activities, while maintaining operational excellence and a high standard of customer service.

Conferences and programs: The PM communicates with volunteer conference organizers and speakers to confirm commitments, determines individual support required; provides information about conference, hotel, and food service options; and tracks the progress of event planning and organization. The PM works with the ITA Staff Assistant to generate and assemble program materials to be distributed. The PM works with the ITA Director to secure conference meeting and social event venues, as well as directing vendors for appropriate set-up and AV needs. The PM serves as the principal liaison with each venue’s event manager and catering team. The PM works with CAIL’s Director of Technology to develop webpages and with CAIL’s Registrars to initiate their processes and to ensure reporting for continuing legal education (CLE) credit for attending lawyers. The PM monitors implementation to recognize, address, and correct emerging problems promptly to ensure success. The PM provides onsite logistical support during in-person conferences approximately four times a year.

Membership: The PM works with the ITA Staff Assistant to administer the ITA’s membership activities, including invoicing dues, maintaining current membership lists and committee assignments, and coordinating member-related committee and leadership meetings (typically online). The PM ensures the accuracy of ITA’s databases and performs data entry concerning changes in membership and other information. The PM is also a client-facing coordinator and administrator for committee meetings and other leadership activities.

Other: The PM performs other tasks as needed or assigned, including occasional support of other (non-ITA) educational programs of CAIL.

Qualifications, Skills, and Traits

Education: A bachelor’s degree in a relevant field is strongly preferred but related work experience will be considered.

Required Qualifications:

Experience managing projects and logistics

Must be eligible to work in the United States of America

Must be capable of occasional travel to conference locations such as Houston (TX) and Toronto (Canada)

Preferred Qualifications:

Experience orchestrating logistics of in-person events is preferred

Experience managing conventions, conferences, and similar events a plus

Experience with a professional membership organization a plus

Professional experience working in nonprofit or grant-funded organizations a plus

Customer-facing experience with lawyers or similar professionals a plus

Experience/Skills/Traits

· High proficiency in oral and written communication skills

Job Terms

This is a full-time, exempt position. Compensation is commensurate with experience and qualifications in a range beginning at $58,000 annually.

Medical, dental, vision coverage for employee, spouse, and dependents is available with CAIL providing a partial benefits supplement. Short-term and long-term disability is offered at no cost to the employee. CAIL offers participation in a 403(b) retirement plan, with CAIL making a 100% matching contribution of up to 6% of eligible compensation. Vacation accrues at two days per month up to a maximum of twenty-two days annually.
