Location: Westminster with up to 10% travel within and outside the state. One Saturday per month off-site.

Immediate Supervisor: Chief Program Officer

General Description:

The Programs Assistant reports directly to the Chief Program Officer and provides administrative and operational support to the Chief Program Officer, Executive Director, and Chief Financial Officer. This position plays a key role in supporting office management, accounting functions, program operations, grant compliance, reporting, and general administrative activities across the organization.

Duties and Responsibilities:

Office Management
  • Serve as backup to the Service Coordinator/Receptionist as needed.
  • Maintain and distribute the company staff directory.
  • Assist with office supply inventory and ordering.
  • Assist with employee engagement activities, wellness initiatives, and team-building events.
  • Maintain and track staff training records.
  • Support development and distribution of employee handbooks, policy updates, HR communications, and organization-wide calendaring.
  • Arrange travel, accommodations, and itineraries for staff attending conferences and trainings, as requested.

Accounting Support
  • Process accounts payable transactions accurately and ensure timely payment of invoices.
  • Review and verify coding of invoices in accordance with the Chart of Accounts and resolve discrepancies as needed.
  • Monitor vendor accounts to ensure payments are current.
  • Process recurring monthly and quarterly corporate loan payments.
  • Record accounts receivable and cash receipts in a timely manner and coordinate proper allocation of incoming funds.
  • Deposit checks daily, either electronically or in person.
  • Assist with preparation of annual 1099 tax forms.
  • Provide documentation and support for audits.

Administrative Support
  • Assist with grant management and compliance efforts, including attending meetings, supporting reporting, financial tracking, and maintaining organized records and documentation.
  • Assist with the preparation and submission of quarterly, annual, and ad hoc reports, including NeighborWorks America reporting.
  • Monitor property certification compliance.
  • Prepare and compile reports, presentations, and documentation for internal and external use as needed.
  • Assist with counseling activities reporting.
  • Provide administrative support for Homebuyer Education classes, including registration, participant confirmations, location setup, and on-site administrative support for one Saturday class per month.
  • Assist with coordination of Board of Directors activities, including scheduling meetings, preparing and distributing board packets, maintaining attendance records, coordinating document collection, facilitating signature processes, and serving as administrative liaison to the Board as needed.
  • Perform other duties as assigned.

Experience and Qualifications:

  • High school diploma or equivalent required.
  • Bilingual Spanish preferred.
  • Strong computer proficiency, including Microsoft Office Suite, and the ability and willingness to learn new systems that support organizational operations and goals.
  • Willingness and ability to learn and apply federal, state, and local regulations.
  • Demonstrated ability to exercise sound judgment and maintain professionalism in all situations.
  • Ability to handle sensitive and confidential employee and organizational information with discretion.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Ability to work independently with minimal supervision and collaboratively as part of a team.
  • Valid Colorado driver’s license required.
