Sarracco Mechanical Services, Inc. is seeking a highly organized, experienced and motivated Construction Project Administrator with strong problem solving skills to provide administrative support for the Project Management team. You will be responsible for assisting with various aspects of administration for large and small commercial construction projects with multiple trades - coordinating vendors and subcontractors, scheduling, processing submittals and cost controls.

This is a full time position working 8 hours per day in our Waterbury office. Occasional overtime may be required to meet workflow needs and must be approved in advance.

The Project Administrator supports and takes direction from the Project Management Team.

Essential Functions and Core Competencies

  • Prepare project files at startup and maintain throughout the term of the contract including contract, subcontractor and vendor files.
  • Assist in the preparation of subcontracts and purchase orders and track status
  • Set up and maintain project logs: submittal, RFI, change orders etc.
  • Other duties as assigned and for department cross training
  • Change Orders: assist PMs in preparation, once approved, draft, submit and track with GC.
  • Solicit pricing from subs and vendors and perform simple scope take off and basic estimating of costs.
  • Prepare, copy, collate and forward submittals, shop drawings and other project related documents to the Construction Manager or Owner.
  • Track the return of submittals and distributes among the Project Management Team.
  • Assist the Project Management Team in preparing the payment requisition / invoices.
  • Know the project’s schedule of values and the terms of payment in the contract.
  • Work with accounting staff, Project Management Team and GC to correct inaccurate change orders or payment requisitions / invoices.
  • Assist in project close out as directed by Project Management Team including assisting with project commissioning, preparing Operations & Maintenance (O&M) Manuals, warranty letters, valve charts, as-built drawings, panel schedules etc.

Skill Requirements

  • Strong competency in working with various construction software programs. Sage 300 and ProCore a plus
  • Good problem-solving skills and devotion to accuracy
  • Organization, time management and prioritization skills
  • Knowledge of Microsoft 365 and proficiency in Excel
  • Strong teamwork and maintaining positive working relationships with internal and external stakeholders including Executive Leadership, Project Management, Field Staff, Office Staff, customers, suppliers and vendors
  • Strong communication skills both verbal and written

Experience:
