Job Overview

The Construction Project Administrator will play a crucial role in supporting the project management team throughout the construction process. This position involves coordinating project documentation, managing stakeholder communication, and ensuring smooth, efficient project operations.

Key Responsibilities

The list below is not an exhaustive list of duties and responsibilities. This professional in this role will be expected to perform different tasks as necessitated by the position's changing role within the organization and the overall business objectives of the organization.

  • Maintain accurate logs and file all documents according to company policies.
  • Ensure timely response and follow-up with the Project Manager, Superintendent, Architect, and Engineer as required.
  • Prepare contracts, purchase orders, and subcontract change orders.
  • Track issuance and return from subcontractors/vendors, including insurance certificates and licensing.
  • Report outstanding subcontracts or insurance/licensing issues to the Project Manager weekly.
  • Prepare and track Requests for Change Orders (RCO) and Potential Change Orders (PCO).
  • Ensure updates are made in the project management software and maintain organized files.
  • Organize and assist in weekly owner and team meetings.
  • Collect, verify, and submit certified payroll as required.
  • Maintain project files, folders, and binders according to company policies.
  • Maintain close communication with internal personnel, third-party consultants, governmental agencies, vendors, subcontractors, and customers.
  • Adhere to accounting procedures
  • Monitor and process owner and subcontractor change orders.
  • Ensure timely execution of documents and compliance with subcontractor and vendor insurance requirements.
  • Prepare necessary reports as required by the owner agreement or company policies.
  • Assist in closing procedures as needed.
  • Solicit and track receipt of subcontractor/vendor warranties and O&M manuals.
  • Assemble and distribute close-out documents.

Qualifications

  • Previous experience in construction administration is desirable.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Knowledge of Procore and Sage preferred.
  • Ability to learn and use other software effectively.
  • Ability to read, analyze, and interpret business periodicals, technical procedures, and governmental regulations.
  • Effective communication skills for writing reports, business correspondence, and procedure manuals.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions.
  • Problem-solving skills and ability to interpret instructions furnished in various forms.

  • The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
