Project Administrator

Job Summary
We are seeking a highly organized and detail-oriented Project Administrator to support our team by supervising and managing various projects and project-related tasks in our growing construction company. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with a range of administrative tools. This role involves coordinating project documentation, project site supervision, communicating with labor crews and providing exceptional customer support to ensure smooth project operations. Prior administrative experience involving multiple forms of technology, clerical duties, and customer service is essential for success in this position. Bonus if you have roofing and/or construction knowledge.

Responsibilities

  • Manage and update project documentation, reports, and files with accuracy and attention to detail
  • Coordinate calendar management and schedule meetings using tools like Google Workspace and Calendly
  • Handle multi-line phone systems, screen calls, and provide professional front desk reception services
  • Support data entry, proofreading, and filing tasks to maintain organized records
  • Assist with bookkeeping activities using QuickBooks or similar software as needed
  • Provide customer support via phone or email, demonstrating excellent phone etiquette and communication skills
  • Support project team members with administrative tasks such as typing, document preparation, and organizing files
  • Manage office supplies and ensure the office space is organized, clean, and well-maintained
  • Perform other clerical duties including faxing, scanning, and managing correspondence

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent written and verbal communication skills; bilingual abilities are a plus
  • Experience with office management systems and clerical procedures
  • Knowledge of QuickBooks for bookkeeping purposes
  • Ability to handle multi-line phone systems with professionalism and courtesy
  • Demonstrated customer service skills with a focus on client satisfaction
  • Strong data entry skills with high accuracy; familiarity with proofreading is advantageous
  • Time management skills to handle multiple responsibilities efficiently
  • Previous experience in administrative roles such as personal assistant, executive assistant, receptionist, or office clerk is preferred
  • Must be able to lift project materials, sometimes up to 75 lbs
  • Must have your own, reliable transportation
