Project Administrator (Site)

Job Summary

The Site Administrator will be the primary on‑site coordinator responsible for all personnel mobilization, camp administration, and support services. This role ensures seamless liaison between Project Management, HR, Government Relations, and Client personnel to maintain optimal manpower schedules, camp facilities, and compliance with company and local regulations.

Key Responsibilities

Manpower Coordination & Mobilization

  • Prepare and maintain Manpower Loading Charts (mobilization schedules) in coordination with Project Management.
  • Liaise with HR on mobilization/demobilization processes; ensure all forms and clearance procedures are completed.
  • Manage arrivals and departures—transport, accommodation, immigration, and permit formalities.
  • Update mobilization charts with next assignments or long‑leave statuses.

Regulatory & Compliance

  • Coordinate with Government Relations for permits, security clearances, and other site regulatory requirements.
  • Ensure all site-related medical examinations are booked and completed.
  • Enforce compliance with company policies, Client HSE requirements, and local laws.

Onboarding & Employee Support

  • Conduct induction sessions for new arrivals.
  • Monitor and process leave applications, ensuring adherence to approved schedules.
  • Provide administrative support to Client personnel as needed.

Camp & Facilities Management

  • Oversee catering operations: food preparation, service quality, hygiene inspections, and corrective actions.
  • Supervise housekeeping for accommodation, toilets, recreation areas, and ensure sanitation standards.
  • Maintain daily camp reports: occupancy, maintenance logs, cleaning schedules.
  • Respond to maintenance requests and staff complaints, ensuring timely resolution.
  • Track and maintain inventories of camp assets (kitchen equipment, fixtures, etc.).

Timekeeping & Reporting

  • Ensure timely submission and accurate recording of all site employee timesheets.

Qualifications & Experience

  • Bachelor’s degree or diploma in Administration, HR, Hospitality Management, or related field.
  • Minimum 10 years’ experience as a Site Administrator or similar role in EPC/oil & gas or heavy‑civil projects.
  • Strong knowledge of UAE labour law, immigration processes, and HSE requirements.
  • Excellent organizational, communication, and stakeholder‑management skills.
  • Proficient in MS Office; experience with ERP or site‑management software is a plus.
