Position Qualifications and Requirements:
Experience:
- 4-5 years’ experience in project coordination, ideally in healthcare or clinical settings
- Experience working with cross-departmental teams (operations, IT, procurement, finance)
- Familiarity with UAE healthcare environment (DHA/MOH is a plus)
Skills Required:
Project Coordination & Management
- Project planning, Gantt charts, and milestone tracking
- Strong familiarity with project documentation, dashboards, and standard operating procedures
- Cross-functional team coordination and stakeholder communication
Digital Tools Proficiency
- Notion – for SOPs, trackers, and collaborative documentation
- Google Workspace – Docs, Sheets, Slides, Calendar
- Optional: MS PROJECT, Asana, Trello, Monday.com, or ClickUp
Data Analysis & Reporting
- KPI tracking, risk logs, and reporting dashboards
- Proficiency with Google Sheets (advanced formulas, charts, pivot tables)

Responsibilities of the Position:
The candidate is expected to perform the following duties and responsibilities:
- Assist in planning, tracking, and executing projects across clinical and operational divisions.
- Create and maintain project documentation, dashboards, trackers, and standard operating procedures (SOPs) using tools such as Notion and Google Workspace.
- Coordinate internal meetings, follow-ups, and cross-functional status updates with teams such as clinic operations, IT, finance, and procurement.
- Monitor key project metrics and support the preparation of performance and risk reports for senior leadership.
- Contribute to onboarding and change management efforts related to the implementation of new tools, workflows, and SOPs.
- Work closely with stakeholders across departments to ensure the timely delivery of project milestones.
- Support financial tracking for projects, liaise with the finance team on budget alignment, and ensure compliance with financial controls and guidelines.
- Document optimized processes and lessons learned to support continuous improvement across future projects.
- Identify, assess, and manage project risks through proactive risk registers and mitigation plans.
- Ensure the quality and compliance of project deliverables in line with clinical standards and regulatory requirements.
- Prepare and manage the project execution calendar and coordinate key resources to ensure on-time delivery of milestones.
- Support the preparation of executive presentations and reports for the CEO and potential investors regarding project progress and performance.
Preferred Certifications:
- Any relevant certifications including:
- CAPM (Certified Associate in Project Management)
- PMP (Project Management Professional).
- PRINCE2 Foundation or Practitioner
- Agile/Scrum Certifications
- Lean Six Sigma (Yellow/Green Belt) – process efficiency
- Prosci Change Management – change rollout support
- Basic Financial Modeling Certificate – for budget tracking
