Role Overview
As our Project Coordinator / Production Manager, you’ll be the connective tissue between design, factory production, and business operations. You’ll own project timelines, ensure quotes and samples stay on track, and prepare pricing documentation for internal and external partners.

Key Responsibilities
- Manage 15–20 active product projects from concept through production.
- Maintain ClickUp boards and timelines, ensuring all tasks are assigned, updated, and on schedule.
- Conduct weekly status check-ins with the owner and designer to identify bottlenecks early.
- Factory & Vendor Coordination
- Request and track factory quotes, samples, and revisions.
- Ensure production files, approvals, and documentation are sent and returned on schedule.
- Prepare pricing sheets and project summaries for review and distribution.
- Documentation & Production Support
- Gather and organize materials needed for packaging and instruction manuals.
- Help coordinate updates to product documentation and compliance materials.
- Track shipments, purchase orders, and key delivery milestones.
- Operational Support
- Assist with vendor onboarding and communication follow-up.
- Identify and suggest improvements to workflow efficiency.
- Maintain organized records of project assets, costs, and communications.
Required Qualifications
- 3–5 years of experience in consumer product development, manufacturing coordination, or project management, ideally in toys, consumer products, or related goods.
- Strong understanding of factory processes (quoting, sampling, purchase orders, production timelines).
- Excellent organizational and communication skills — able to keep multiple stakeholders aligned remotely.
- Proficiency in ClickUp, or similar project management tools.
- Ability to manage deadlines and drive accountability without direct authority.
- Self-starter comfortable working in a small, entrepreneurial, fast-paced environment.
Preferred Experience
- Experience managing project and production timelines, creating SOP's, working independently with limited supervision and delegating tasks.
- Experience creating or managing pricing sheets and vendor cost tracking.
- Basic design file literacy (e.g., able to read Illustrator/excel/PDF files or work with designers on handoff).
- Interest in collectible toys, action figures, or design-led products.

Base Pay: $52,000.00 - $70,000.00 per year
