Role Overview
We are seeking a proactive and organized
Project Coordinator – Solar EPC
to support and coordinate the end‑to‑end delivery of solar projects (rooftop, ground‑mounted or utility‑scale) from planning through installation, commissioning, and handover. The role is central to ensuring project schedules, documentation, inter‑departmental coordination, vendor/sub‑contractor management, and client/stakeholder liaison — enabling timely, high-quality, compliant project execution.
Key Roles & Responsibilities

Project Planning & Scheduling
Assist in preparing project schedules, timelines and milestone plans for solar EPC projects.
Track project progress and follow up on milestones — from procurement, logistics, site mobilization, installation, testing & commissioning to handover.
Coordinate with internal teams (engineering/design, procurement, site execution, quality, safety) to ensure alignment of tasks and smooth flow of work.

Coordination & Communication
Act as the central point of coordination between engineering, procurement, logistics, site teams, vendors/contractors, and clients/consultants.
Facilitate meetings, site visits, status calls; prepare agendas, minutes of meetings (MoMs), follow‑up on action items and ensure closure.
Maintain clear and timely communication internally and externally regarding project status, delays, risks, dependencies, and resolution plans.

Documentation & Reporting
Maintain all project documentation: project trackers, progress reports (weekly / monthly), MIS dashboards, site logs, vendor/sub‑contractor data, correspondence records, drawings/status updates.
Ensure proper handover documentation: site‑readiness certificates, installation reports, commissioning reports, inspection/check‑lists, client approvals, test certificates, as‑built documentation (if required), etc.
Support compliance and regulatory documentation processes, including permits, net‑metering/ grid‑tie paperwork, statutory approvals (if applicable), and submissions.

Procurement & Logistics Support
Coordinate with procurement and supply‑chain teams to track material/equipment deliveries: ensure timely procurement, dispatch, site delivery, storage and distribution aligned to project schedule.
Maintain material status trackers, inventory logs (if applicable), and update project team about material availability, delivery delays or discrepancies.
Coordinate with transport/logistics providers, vendors and site teams to ensure smooth logistics and avoid project delays.

Vendor / Contractor & Stakeholder Management
Manage communication with vendors/ subcontractors for supply, deliveries, services; ensure clarity on scope, deliverables, timelines and quality expectations.
Liaise with clients/consultants/regulatory authorities (if applicable) for approvals, site access permissions, grid‑connection paperwork, inspections, and compliance matters.
Escalate issues or risks (logistical, regulatory, execution) to the Project Head with proposed mitigation plans or alternatives.

Quality, Safety & Compliance Support
Work with quality and safety teams to ensure site activities (civil, electrical, installation) are scheduled and executed in compliance with safety and quality standards.
Monitor compliance with project specifications, standards, internal processes, and statutory/regulatory requirements.
Document non‑conformances or deviations (if any), support corrective/preventive actions and ensure closure before further progress.

Project Close‑out & Handover Coordination
Coordinate final inspections, commissioning checks, approvals and client handovers.
Ensure completion of all project deliverables: documentation, certifications, as‑built drawings, test reports, compliance certificates, and handover formalities.
Support internal teams for final project review, lessons‑learned sessions, and project closure documentation.
Qualifications & Skills
Education:
Bachelor’s degree or Diploma — preferably in Engineering (Electrical / Mechanical / Civil) or in relevant technical discipline / Project Management.
Software / Tools:
Proficiency in MS Office (Excel, Word, PowerPoint), project‑tracking tools/spreadsheets; familiarity with project‑management tools (e.g. MS Project, trackers) is a plus.
