Project Coordinators
Project Coordinators are responsible for coordinating the data conversion process from beginning to end. The role is considered an invaluable team member and must have drive, vision, strong project management skills, and exceptional interpersonal abilities. This is a salaried, exempt position that requires a 45-hour minimum work week and availability 24 hours/7 days a week as business dictates. Candidates should possess strong project management skills and the ability to effectively navigate and resolve both internal and external conflicts to support successful project outcomes.
Responsibilities
- Responsible for all aspects of the data conversion process; process data, verify data, and output data.
- Manage and promote positive relationships with clients and vendors as the primary point-of-contact for day-to-day issues for each project.
- Manage scheduling for projects including data pulls and extracts, testing, and required reports to meet vendor and client requirements.
- Compile test data and perform appropriate analyses.
- Complete documentation needed to support testing procedures.
- Supply quality control data necessary for regulatory submissions.
- Perform validations in accordance with applicable policies or guidelines.
- Identify quality problems and recommend solutions.
- Monitor testing procedures to ensure that all tests are performed according to established item specifications, standard test methods, or protocols.
- Identify and troubleshoot software problems.
- Input all pertinent project updates and process documentation into the ClickUp tool.
- Interpret test results and compare them to established specifications and control limits.
- Provide timely issue resolution to clients and vendors.
- Communicate with the pharmacy and vendor to ensure the conversion process and timeline are understood and maintained.
- Work closely with programming to correct errors and resolve issues by reporting questionable test results.
- Maintain confidentiality with regard to information (PHI) being processed, stored, or accessed.
- Ensure that HIPAA/PCI standards are maintained.
- Keep local workspace clean and back up closed projects from server disk space.
- Perform other duties as required and assigned.
Additional Responsibilities
- Assist and support Senior Project Coordinators and Team Leads as needed.
- Proactively identify risks, manage project scope, and drive resolution across cross-functional teams.
- Facilitate effective communication between internal departments and external stakeholders to ensure alignment and timely conflict resolution.
Knowledge and Skill Requirements
- Bachelor’s degree is strongly recommended.
- 3–5 years of project coordination experience in healthcare or pharmacy environments strongly preferred.
- Strong project management skills with the ability to manage multiple concurrent projects and shifting priorities.
- Experience with project/client management platforms such as Clickup, Hubspot, etc
- Demonstrated ability to effectively navigate and resolve both internal and external conflicts in a professional manner.
- Knowledge of Microsoft Office required.
- Basic understanding of programming preferred.
- Familiarity with EPIC and other pharmacy management systems is a plus.
- Excellent verbal and written communication skills.
- Superior customer service skills and strong interpersonal abilities.
- Capacity to multitask, prioritize, and work independently.
- Active listening, complex problem-solving, monitoring, and troubleshooting proficiencies.
- Ability to build rapport, cultivate confidence, and maintain professionalism under pressure.

This knowledge is typically acquired through experience as a pharmacy technician, data analyst, database specialist, implementation coordinator, or similar role within a healthcare or pharmacy setting.
Pay: $62,000.00 - $65,000.00 per year
