Position Title: Project Coordinator

Employment Status: Full-Time, Exempt

General: This full-time employee will report to and be supervised by the Executive Director of Children’s Advocacy Centers of Arkansas. This position may require that work be performed during evening or weekend hours as related to special events. Personal time off will be scheduled by this employee with the Executive Director’s consent during non-peak event times.

Basic Function: The Project Coordinator supports the daily operations and programmatic work of Children’s Advocacy Centers of Arkansas (CACar). This position is responsible for office management, coordination of trainings and meetings, auditing and reviewing compliance documentation for quality assurance, and providing administrative and logistical support for CACar initiatives and projects. The Project Coordinator plays a key role in ensuring efficient operations and consistent communication with member centers, partners, and stakeholders.

Specific Responsibilities:

Training & Meeting Coordination

  • Coordinate logistics for in-person and virtual trainings, meetings, and events
  • Schedule training dates and send calendar invitations
  • Prepare and distribute agendas, materials, and handouts
  • Manage registration, attendance tracking, and participant communication
  • Coordinate travel arrangements, meeting locations, and technology needs
  • Assist with preparation of training evaluations and summary reports
  • Support board meetings, committee meetings, and director meetings as needed

Compliance & Quality Assurance Support

  • Audit and review children’s advocacy centers membership requirements, and multidisciplinary team program compliance data for completeness and accuracy
  • Track submission deadlines and follow up with member centers as needed
  • Maintain organized compliance files and documentation
  • Assist in monitoring adherence to CACar standards, policies, and requirements
  • Prepare summary reports related to compliance status and outstanding items
  • Support quality assurance processes and documentation reviews

Project & Program Support

  • Provide administrative and logistical support for CACar projects and initiatives, including social media, awareness campaigns, database support
  • Assist with preparation of reports, presentations, and program materials
  • Support implementation of statewide initiatives and collaborative efforts
  • Help track project timelines, deliverables, and progress
  • Coordinate communication with stakeholders and partner organizations
  • Perform any other duties as assigned.

Office Management & Administrative Support

  • Serve as primary point of contact by answering phone calls, responding to general inquiries, and directing communications appropriately
  • Open, sort, and distribute incoming mail and manage outgoing correspondence
  • Maintain organized filing systems (electronic and paper) for CACar records and documentation
  • Monitor general email inbox and assist with routine communications
  • Order and maintain office supplies and materials
  • Assist with scheduling and calendar coordination for CACar activities
  • Support data entry and database maintenance

Qualifications

  • Associate’s or Bachelor’s degree preferred; relevant experience may substitute
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Attention to detail and ability to review documents for accuracy and completeness
  • Ability to manage multiple tasks and deadlines
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms
  • Experience with event coordination or administrative support preferred
  • Ability to work independently and collaboratively in a team environment
  • Commitment to the mission of Children’s Advocacy Centers

Preferred Skills

  • Experience working with nonprofit organizations
  • Familiarity with compliance tracking or quality assurance processes
  • Experience coordinating trainings or statewide meetings
  • Database or records management experience

Pay: From $40,000.00 per year
