Project Coordinator – Interior Fit-Out

About the Role
We are seeking a proactive and highly organized Project Coordinator to support the successful delivery of interior fit-out projects across commercial, retail, hospitality sectors. The ideal candidate will act as a key link between clients, project managers, consultants, site teams, subcontractors, and suppliers, ensuring effective communication, timely project execution, and accurate project documentation.
Key Responsibilities Project Coordination
- Support Project Managers in planning, coordinating, and monitoring fit-out projects from award through handover.
- Track project schedules, milestones, deliverables, and progress updates to ensure timely completion.
- Coordinate with design, technical, procurement, commercial, and site teams to facilitate smooth project execution.
- Assist in identifying project risks, delays, and coordination issues, and escalate them when required.
- Prepare and distribute project reports, meeting minutes, action trackers, and progress updates.
Client & Stakeholder Coordination
- Serve as a primary point of contact for project-related communication between clients, consultants, subcontractors, suppliers, and internal teams.
- Coordinate client meetings, site visits, inspections, and project reviews.
- Follow up on client approvals, material submissions, RFIs, shop drawings, and project correspondence.
Document Control & Administration
- Maintain accurate and organized project records, including contracts, drawings, submittals, approvals, variation orders, and project correspondence.
- Ensure all project documentation is updated, tracked, and distributed in accordance with company procedures.
- Monitor document revisions and maintain proper version control.
- Assist in the preparation and submission of authority-related documentation when required.
Procurement & Site Support
- Coordinate with procurement teams regarding material orders, delivery schedules, and supplier follow-ups.
- Support site teams by tracking material approvals, work progress, and project requirements.
- Assist in coordinating subcontractors and ensuring timely completion of assigned activities.
Requirements
- Bachelor's degree or Diploma in Engineering, Architecture, Interior Design, Construction Management, Business Administration, or a related field.
- Minimum 2–5 years of experience in project coordination within the UAE fit-out, construction, interior design, or contracting industry.
- Strong understanding of fit-out project processes, documentation, and site coordination.
- Experience coordinating with clients, consultants, contractors, and suppliers.
- Excellent organizational, communication, and multitasking skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Experience using project management and document control systems is an advantage.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- UAE driving license is preferred.
Preferred Qualifications
- Experience working on commercial, hospitality, retail, or high-end residential fit-out projects.
- Familiarity with UAE construction and fit-out procedures.
- Knowledge of AutoCAD, project scheduling software, or ERP systems is an advantage.
