Project Coordinator (Internal Operations - CMS)

We are seeking a highly organized and detail-driven Project Coordinator (Internal Operations) to manage daily execution tracking, pipeline visibility, and structured coordination between Sales and Production teams across our CMS Business Unit .

This role is critical to ensuring operational clarity, financial discipline, and strict execution control . The Project Coordinator will monitor pipelines, enforce SOPs, track payment realization, and ensure seamless internal handovers.

This is a purely internal coordination role and does not involve direct client communication, sales negotiations, pricing, or scope definition.

Key Objectives of the Role:


  • Maintain real-time pipeline and profile visibility

  • Ensure structured execution control

  • Enforce SOPs, workflows, and guardrails

  • Track expected vs realized payments

  • Enable smooth internal coordination between Sales and Production teams.


Scope of Responsibility:


  • Internal coordination between Sales and Production

  • CMS-wide pipeline & profile monitoring

  • Payment realization & revenue tracking

  • Enforcement of guardrails, SOPs, and workflow rules

  • Daily operational follow-ups

  • Reporting directly to Business Unit Head


Key Responsibilities:


1. Pipeline & Profile Control:
  • Monitor all CMS profiles daily (Upwork and internal channels).

  • Maintain real-time visibility of:

    • Active projects

    • Upcoming starts

    • Pending approvals

    • Payment milestones

  • Ensure zero silent stagnation across profiles.

  • Flag risks and bottlenecks proactively.

  • Maintain structured and up-to-date pipeline dashboards.

2. Sales → Production Coordination:
  • Ensure smooth internal handover from Sales to Project Management.

  • Validate completeness of:

    • Scope documentation

    • Project timelines

    • Approved deliverables

  • Prevent incomplete or unclear tasks from entering production.

  • Coordinate internal clarifications before execution begins.

  • Enforce disciplined handover workflows.

3. Guardrail & SOP Enforcement:
  • Ensure strict adherence to defined CMS workflows and SOPs.

  • Verify tasks meet Definition of Ready (DoR) before execution.

  • Confirm proof of work before QA transition.

  • Prevent workflow bypassing.

  • Identify and report repeated SOP violations.

4. Payment Realization & Revenue Tracking:
  • Track weekly CMS expected payments.

  • Monitor milestone approvals and withdrawals.

  • Ensure:

    • Timely deliverable submission

    • Correct milestone triggering

    • No invoicing or revenue gaps

  • Maintain accurate CMS revenue tracking sheets.

  • Proactively highlight payment risks.

5. Daily Operational Follow-Through:
  • Monitor all CMS operational boards daily.

  • Identify stalled tasks and ownership gaps.

  • Coordinate with PMs and Production Leads to unblock issues.

  • Ensure task status accuracy.

  • Escalate risks with full operational context.

6. Reporting & Visibility:
  • Maintain structured CMS pipeline dashboards.

  • Provide weekly operational snapshots covering:

    • Active revenue

    • Expected payments

    • Delayed projects

    • SOP breaches

  • Support Weekly Business Pulse reporting.



Requirements

Education:
  • Bachelor’s degree in business administration, Project Management, Operations, IT, or a related field.

Experience:
  • 2–4+ years of experience in Project Coordination, Operations Management, or Delivery Management .

  • Prior experience working in software houses, digital agencies, or IT services companies preferred.

  • Exposure to CMS projects (WordPress, Shopify, Webflow) is a plus.

  • Project management tools (ClickUp, Jira, Asana, Trello, Monday.com, etc.)

  • CRM & pipeline tracking systems

  • Excel / Google Sheets for reporting & dashboards

  • SOP-driven operational environments
