Job Summary
We are seeking a detail-oriented and proactive Project Coordinator to join our dynamic team. The ideal candidate will play a pivotal role in supporting project management efforts across various construction projects. This position requires a strong understanding of construction management, project scheduling, and the ability to effectively coordinate tasks and resources to ensure project success.

Design & Pre-Construction

  • Assist clients in the design phase: mood boards, selections, finishes, and layouts.
  • Develop and edit floor plans using Kitchen 2020, 2020 Design Live, CAD, or similar software.
  • Create digital mood boards, renderings, and selection packages for client approvals.
  • Help prepare estimates and proposals, ensuring selections are properly costed.
  • Maintain vendor relationships and organize pricing, samples, and product availability.

Construction Administration

  • Ensure selected finishes are ordered, tracked, and installed as designed.
  • Support project managers in maintaining schedules, budgets, and vendor communication.
  • Participate in site visits to confirm design details are executed correctly.
  • Upload and track project documentation in software (JobTread, Buildertrend, CoConstruct, or similar).

Client Coordination & Team Support

  • Guide clients through the selections process with a professional, empathetic approach.
  • Keep clients informed on timelines, design changes, and product updates.
  • Support administrative tasks: updating schedules, processing change orders, and maintaining digital project files.
  • Collaborate with designers, estimators, and field managers to ensure smooth project flow.

Responsibilities

  • Assist in the planning and execution of construction projects from inception to completion.
  • Utilize construction management software, including Kitchen 2020, or Chief Architect for Design and JobTread for project tracking and reporting.
  • Coordinate with project managers and stakeholders to ensure timely communication and alignment on project goals.
  • Manage project schedules, ensuring that timelines are adhered to and any potential delays are addressed proactively.
  • Conduct blueprint reading and interpretation of schematics to assist in project planning.
  • Support construction estimating processes by providing necessary documentation and data.
  • Maintain organized records of contracts, change orders, and other essential project documents.
  • Facilitate site meetings and ensure that all team members are informed of their responsibilities and deadlines.
  • Monitor project progress on-site, ensuring compliance with safety regulations and quality standards.

Requirements

  • Proven experience in project coordination or management within the construction industry.
  • Proficiency in construction management software such as Buildertrend, Jobtread or similar, ProCore, Primavera P6.
  • Strong understanding of construction estimating processes and techniques.
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Familiarity with contracts, project scheduling, and blueprint reading is essential.
  • Experience working on construction sites is preferred, along with a solid understanding of safety protocols.
  • Strong organizational skills with an attention to detail in all aspects of work.
  • Ability to communicate effectively with diverse teams and stakeholders.
