Branding by Books helps founders write, publish, and launch their books — transforming their stories and expertise into powerful brand assets. We handle everything from outlining and writing to editing, design, and launch.

We’re a growing company looking for a proactive, detail-oriented Project Manager to oversee client fulfillment. This isn’t a VA role — it’s a leadership position for someone who can own the client journey, ensure systems are followed, and keep both clients and team members aligned.

Role Overview

The Project Manager is the bridge between our clients, writers, editors, and operations team. You’ll ensure every book moves forward smoothly and predictably, while creating an excellent client experience.

This is a remote contractor position, US-based, $5K/month, with long-term potential.

Key Responsibilities

Fulfillment Oversight

  • Ensure all client projects are on track, deadlines are met, and deliverables hit quality standards.
  • Assign projects to writers/editors with clear due dates and fair rotation.
  • Monitor systems and SOPs, catching and solving breakdowns early.
  • Manage client progress dashboards (currently via Motion, white-labeled).

Client Onboarding & Communication

  • Lead onboarding calls and orient clients to their project portal.
  • Prompt clients for missing inputs and approvals.
  • Jump on calls as needed to unblock progress.
  • Maintain follow-up systems (email/SMS/calls) for clients who fall behind.

Team Coordination

  • Act as liaison between clients and fulfillment team.
  • Communicate project needs clearly to writers/editors.
  • Hold regular team meetings and ad-hoc check-ins.
  • Be available to answer questions and provide guidance.
  • Monitor/manage time-off requests to protect deadlines.

Quality Control

  • Spot-check deliverables (outlines, chapters, designs, formatted files).
  • Ensure consistency with brand standards, templates, and tone.
  • Collect client feedback and translate into process improvements.

Client Experience & Retention

  • Serve as a trusted point of contact and guide for clients.
  • Track satisfaction, gather testimonials, and share success stories with marketing.
  • Identify upsell/referral opportunities.
  • Monitor client sentiment to reduce churn.

Process, Operations & HR

  • Work with the Operations Manager on proposals, payments, and communications.
  • Manage client email correspondence (including payment reminders).
  • Assist with HR tasks: hiring, onboarding, maintaining team documentation.
  • Spot hiring/resource needs and flag capacity gaps.
  • Keep SOPs and training docs current.

Reporting & Metrics

  • Deliver weekly fulfillment reports to leadership.
  • Track KPIs: turnaround times, onboarding completion rates, revision cycles, etc.

  • Flexible: Open to occasional evening meetings to align with overseas staff.

Nice to Have

  • Experience in publishing, editing, or book production is a plus.

  • $5,000/month (contractor role)
