Position Title: Project Manager – School Setup (Preschool / High School)

Organization:Kidzonia Preschool

Department: Projects / Infrastructure & Expansion

Location: Mumbai / Pune

(Extensive on-site travel within the region)

Reporting To: National Head

Role Purpose:

The Project Manager – School Setup is responsible for end-to-end planning, coordination, execution, and handover of preschool and high school projects, ensuring timely, cost-effective, and compliant setup as per Kidzonia brand, academic, and safety standards in Mumbai and Pune.

Key Objectives:

  • Deliver school setup projects on time and within budget
  • Ensure compliance with Kidzonia academic, brand, and safety standards
  • Coordinate multiple stakeholders for seamless execution
  • Ensure readiness for academic launch and regulatory approvals

Key Responsibilities:

1. Project Planning & Execution

Manage end-to-end project lifecycle for:
  • New preschool setups
  • High school setups (where applicable)
  • Expansion or renovation of existing schools
Prepare:
  • Project plans
  • Timelines and milestones
  • Cost estimates and budgets
Track progress and ensure adherence to project schedules

2. Site Evaluation & Feasibility Support

Support franchise and business development teams with:
  • Site feasibility assessments
  • Area planning and space optimization
Evaluate sites based on:
  • Local regulations (BMC / PMC / PCMC)
  • Safety, accessibility, and child-friendly design norms
Recommend layout modifications to meet compliance and brand standards

3. Design, Layout & Branding Compliance

Coordinate with:
  • Architects
  • Interior designers
  • Civil contractors
Ensure layouts comply with:
  • Kidzonia brand guidelines
  • Age-appropriate learning environments
  • Safety and hygiene standards
Approve:
  • Floor plans
  • Furniture layouts
  • Signage and branding installations

4. Vendor & Contractor Management

Identify, onboard, and manage:
  • Civil contractors
  • Interior vendors
  • Furniture suppliers
  • Electrical, plumbing, HVAC, and fire safety vendors
Ensure:
  • Quality of work
  • Timely delivery
  • Cost control
Conduct regular site reviews and inspections

5. Budgeting & Cost Control

  • Prepare detailed BOQs and cost sheets
  • Monitor project expenses against approved budgets
  • Identify cost optimization opportunities without compromising quality
  • Approve vendor invoices and coordinate with finance for payments

6. Statutory, Safety & Regulatory Compliance

  • Ensure compliance with:
  • Local municipal norms (BMC, PMC, PCMC)
  • Fire safety NOC
  • Health & hygiene regulations
  • Child safety and disaster management norms
  • Coordinate documentation and inspections with authorities
  • Ensure readiness for:
  • Education department inspections
  • Fire and safety audits

7. Coordination with Academics & Operations

  • Work closely with:
  • Academics team for classroom requirements
  • Operations team for SOP alignment
  • Ensure:
  • Classrooms are learning-ready
  • Activity areas meet academic requirements
  • Support pre-launch readiness and dry runs

8. Project Handover & Launch Readiness

  • Conduct final walkthroughs and snag-list closure
  • Ensure:
  • Furniture, fixtures, and equipment installation
  • Utilities and safety systems are functional
  • Handover completed project to:
  • Operations team
  • Franchise partner (if applicable)
  • Support launch activities and opening day readiness

9. Reporting & Documentation

  • Maintain project documentation:
  • Plans
  • Approvals
  • Vendor contracts
  • Prepare:
  • Weekly and monthly project status reports
  • Risk and issue logs
  • Escalate delays, risks, or deviations proactively

10. Risk Management & Problem Resolution

  • Identify potential risks related to:
  • Timelines
  • Costs
  • Compliance
  • Develop mitigation plans
  • Resolve on-site challenges with minimal disruption

  • On-time project completion
  • Adherence to approved budgets
  • Quality and compliance audit scores
  • Number of successful launches

Qualifications & Experience:

Educational Qualifications

Bachelor’s degree in:
  • Civil Engineering
  • Architecture
  • Construction Management
  • Project Management
PMP / Prince2 certification preferred


Experience

6–12+ years of experience in:
  • School / Preschool / Institutional setup projects
  • Retail or healthcare setup experience (acceptable)
Hands-on experience with:
  • Mumbai & Pune municipal regulations
  • Fire safety and education-related compliance

Skills & Competencies:

  • Strong project planning and execution skills
  • Vendor and contractor management expertise
  • Knowledge of local compliance and safety norms
