Job Summary
We are seeking a highly organized, proactive, and results-driven Project Manager & Virtual Executive Manager to oversee projects while providing strategic administrative support to executive leadership. This role requires exceptional organizational skills, strong communication, and the ability to manage multiple priorities in a fast-paced, remote environment.
Key Responsibilities
Project Management
- Plan, coordinate, and oversee multiple projects from initiation to completion.
- Develop project plans, timelines, budgets, and resource allocation.
- Monitor project progress and ensure milestones are achieved on schedule.
- Identify project risks and implement mitigation strategies.
- Coordinate with cross-functional teams to ensure successful project delivery.
- Prepare project status reports and present updates to stakeholders.
- Facilitate project meetings, document action items, and follow up on deliverables.
- Ensure projects align with organizational goals and objectives.

Executive Management Support
- Manage executive calendars, appointments, and meeting schedules.
- Coordinate domestic and international travel arrangements.
- Prepare presentations, reports, meeting agendas, and executive correspondence.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Screen emails and prioritize communications.
- Organize virtual meetings and take meeting minutes.
- Track executive priorities and ensure timely completion of action items.
- Assist with strategic planning and business operations.

Administrative & Operational Support
- Develop and improve business processes and workflows.
- Manage confidential documents and sensitive information.
- Coordinate vendor relationships and contract administration.
- Assist with budgeting, expense tracking, and financial reporting.
- Maintain project documentation and company records.
- Support HR, recruitment, onboarding, and special projects as assigned.
