Job Summary


We are seeking a highly organized, proactive, and results-driven Project Manager & Virtual Executive Manager to oversee projects while providing strategic administrative support to executive leadership. This role requires exceptional organizational skills, strong communication, and the ability to manage multiple priorities in a fast-paced, remote environment.

 

Key Responsibilities

 

Project Management

 

  • Plan, coordinate, and oversee multiple projects from initiation to completion.
  • Develop project plans, timelines, budgets, and resource allocation.
  • Monitor project progress and ensure milestones are achieved on schedule.
  • Identify project risks and implement mitigation strategies.
  • Coordinate with cross-functional teams to ensure successful project delivery.
  • Prepare project status reports and present updates to stakeholders.
  • Facilitate project meetings, document action items, and follow up on deliverables.
  • Ensure projects align with organizational goals and objectives.
  •  

Executive Management Support

 

  • Manage executive calendars, appointments, and meeting schedules.
  • Coordinate domestic and international travel arrangements.
  • Prepare presentations, reports, meeting agendas, and executive correspondence.
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Screen emails and prioritize communications.
  • Organize virtual meetings and take meeting minutes.
  • Track executive priorities and ensure timely completion of action items.
  • Assist with strategic planning and business operations.
  •  

Administrative & Operational Support

 

  • Develop and improve business processes and workflows.
  • Manage confidential documents and sensitive information.
  • Coordinate vendor relationships and contract administration.
  • Assist with budgeting, expense tracking, and financial reporting.
  • Maintain project documentation and company records.
  • Support HR, recruitment, onboarding, and special projects as assigned.

Required Qualifications

 

  • Project Management, or a related field (preferred).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proven ability to multitask and prioritize effectively.
  • High level of professionalism and confidentiality.
  • Strong analytical and problem-solving skills.
  • Ability to work independently with minimal supervision.
