Position Summary

The Administrative Project Manager/Coordinator plays a critical role in supporting and managing small residential and commercial roofing and solar installations from start to finish. This position is the central liaison between customers, city permitting departments, internal teams (estimating, production, scheduling), and field crews.

You will ensure jobs are set up correctly, permit packages are completed and submitted on time, inspections are coordinated, and installation schedules run smoothly. Strong communication, organizational skills, and attention to detail are essential, as this role directly impacts customer satisfaction and project timelines.

Key Responsibilities Customer Communication & Service

  • Serve as the primary point of contact for customers throughout the project lifecycle.
  • Provide regular updates regarding permitting, scheduling, inspections, material deliveries, and installation timelines.
  • Quickly respond to customer questions, concerns, and requests; escalate issues as needed.
  • Conduct customer onboarding calls to explain project steps and next actions.

Project Administration & Coordination

  • Set up new job files in internal systems (CRM, job folders, CompanyCam, BuilderTrend if applicable).
  • Track project milestones, due dates, and documentation across several active projects.
  • Coordinate and schedule installation dates with customers, vendors, and internal scheduling teams.
  • Maintain organized documentation including contracts, change orders, photos, permit documents, and inspection notes.
  • Support project managers and field supervisors with administrative needs.

Permitting & Compliance

  • Prepare and submit permit applications to city/county agencies (solar related)
  • Track permit statuses and ensure timely follow-up with agencies.
  • Schedule all required inspections—pre-roofing, in-progress, final, electrical, etc.
  • Maintain up-to-date knowledge of jurisdictional requirements and inspection scheduling processes.

Planning & Scheduling Support

  • Work closely with Production and Dispatch to build and adjust installation schedules.
  • Confirm material availability and coordinate deliveries with suppliers and yard personnel.
  • Ensure crews have correct work orders, site information, access details, and inspection notes.
  • Notify customers of any weather delays, scope changes, or rescheduling needs.

Internal Coordination

  • Work cross-functionally with Estimating, Contracts, Finance, Customer Care, and Field Operations.
  • Ensure job costing inputs, permit fees, and scheduling data are entered accurately.
  • Assist with updating project trackers, dashboards, and reports for leadership.

QualificationsRequired

  • 2–4 years of administrative, project coordination, or scheduling experience (construction, roofing, solar, AND permitting preferred).
  • Strong customer-facing communication skills (email, phone, scheduling calls).
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
  • Experience working with city/county permitting departments.
  • Proficiency in MS Office, CRM systems, scheduling software.
  • Strong attention to detail and organizational skills.

Preferred

  • Experience with roofing or solar project workflows.
  • Familiarity with CompanyCam, BuilderTrend, or similar tools.
  • Bilingual English/Spanish (a plus for customer-facing needs).
  • Basic understanding of construction terminology and project sequencing.

Pay: $55,000.00 - $75,000.00 per year
