Job Summary
The Project Assistant Coordinator in the Building Maintenance Unit (BMU) field is responsible for supporting project execution, coordination, documentation, scheduling, and communication between clients, suppliers, site teams, and management. The role ensures smooth project operations, timely approvals, proper documentation, and compliance with safety and quality standards.
Key Responsibilities
- Assist the Project Manager in day-to-day project coordination activities.
- Coordinate with site teams, production department, suppliers, and subcontractors for smooth project execution.
- Prepare and maintain project documentation, reports, checklists, and records.
- Monitor project schedules and follow up on pending tasks to ensure timely completion.
- Follow up for Purchase Order (PO) approvals and coordinate with clients and internal departments for timely processing.
- Monitor and maintain records of MIR (Material Inspection Requests) and WIR (Work Inspection Requests).
- Coordinate inspections and ensure all approvals are obtained on time.
- Prepare, organize, and submit project handover documents to clients and consultants.
- Maintain warranty certificates, operation manuals, and project closeout documentation.
- Coordinate material delivery, manpower allocation, and site requirements.
- Maintain project progress updates and submit regular status reports to management.
- Support preparation of method statements, work permits, inspection requests, and handover documents.
- Coordinate with clients and consultants regarding project updates, inspections, approvals, and closeout requirements.
- Track project expenses, invoices, and purchase requests as instructed.
- Maintain filing systems for drawings, technical documents, inspection records, and project files.
- Attend project meetings and prepare meeting minutes.
Requirements
Education
- Diploma or Bachelor’s Degree in Mechanical Engineering, Civil Engineering, Project Management, or related field.
Experience
- 2–3 years of experience in project coordination, preferably in BMU, façade access systems, construction, or maintenance industry.
Skills & Competencies
- Good knowledge of BMU systems and project coordination procedures.
- Familiarity with MIR, WIR, project handover, and QA/QC documentation processes.
- Ability to manage multiple tasks and deadlines.
- Proficiency in MS Office (Excel, Word, Outlook).
- Knowledge of AutoCAD and project documentation is an advantage.
- Familiarity with UAE project and safety standards is preferred.
- Good problem-solving and coordination abilities.
Working Conditions
- Office and site-based role.
- May require site visits and coordination with multiple project locations.
Pay: From AED4,000.00 per month
