Property Management Assistant

L&C Royal Management Corporation is seeking a highly organized, proactive, and customer service–oriented Property Management Assistant to provide administrative and operational support to the Community Association Manager (LCAM) in the daily management of condominium and HOA communities. This role is essential in ensuring regulatory compliance, efficient resident support, and effective coordination with vendors and the Board of Directors. Proficiency in Microsoft Office (Word, Excel, Outlook), Experience with property management software (CINC, AppFolio, Vantaca, TOPS, Yardi, etc.) preferred. Basic knowledge of invoicing and administrative processes, Familiarity with Florida Statutes FS 718 (Condominiums) and FS 720 (HOA) highly preferred

Key Responsibilities

1. Administrative Support

  • Handle phone calls and emails from residents, owners, and vendors
  • Draft and send communications (letters, notices, violation letters, etc.)
  • Maintain and organize physical and digital records
  • Prepare Board meeting packages (agendas, reports, and minutes)

2. Resident Services

  • Respond to resident inquiries, requests, and complaints
  • Track and follow up on work orders
  • Address issues related to noise, parking, maintenance, and other concerns
  • Coordinate access, keys, fobs, and use of common areas

3. Operations & Maintenance Coordination

  • Coordinate and follow up with vendors (landscaping, maintenance, security, cleaning, etc.)
  • Schedule services and property work
  • Monitor and follow up on pending work orders
  • Assist with property inspections and condition reports

4. Compliance & Violations

  • Prepare and send violation notices in accordance with Association rules
  • Track and follow up on compliance cases
  • Assist with violation committee processes
  • Maintain accurate compliance records

5. Basic Financial Support

  • Process and track invoices
  • Coordinate with the accounting department
  • Perform basic review of owner accounts

6. Meetings & Follow-Up

  • Prepare meeting agendas and minutes
  • Assist in Board meetings (as required)
  • Follow up on Board decisions and assigned tasks

7. Operations & Logistics

  • Manage keys, access controls, and lockboxes
  • Coordinate deliveries and on-site services
  • Assist with special community projects

Pay: From $21.00 per hour
