Property Management Assistant

Position Title

Part-time Assistant Property Manager

Position Summary

The Assistant Property Manager supports the daily operations and management of residential and/or commercial properties. This position assists with tenant relations, leasing, rent collection, maintenance coordination, compliance, and administrative duties to help ensure properties are professionally managed, well maintained, and operating efficiently.

Essential Duties and Responsibilities

Tenant and Resident Relations

● Serve as an initial point of contact for prospects by doing showings for properties.

● Follow up on concerns that are not being addressed.

● Assist with resolving tenant issues, complaints, and lease violations as needed.

● Communicate property policies, procedures, and notices to residents as needed.

Leasing and Occupancy

● Assist with marketing available units, scheduling and doing property tours.

● Process rental applications, background checks, and lease documentation, when needed.

● Prepare lease agreements, renewals, notices, and move-in/move-out paperwork.

● Monitor occupancy levels and follow up on upcoming renewals and vacancies.

Rent Collection and Financial Support

● Assist with rent collection and help follow up on delinquent accounts.

● Post notices for tenants that have not paid on time

● Assist with filing evictions as needed.

● Possibly attend eviction court if needed.

Property Operations and Maintenance

● Coordinate maintenance requests and follow up to ensure timely completion.

● Schedule vendors and contractors for repairs and property services.

● Conduct property inspections, move-in inspections, and move-out inspections.

● Help maintain curb appeal, cleanliness, and overall property appearance.

● Monitor compliance with safety standards and property regulations.

● Weekly property inspections and posting notices as needed.

Administrative Responsibilities

● Maintain accurate tenant files, reports, and property records.

● Answer phones, emails, and office inquiries professionally.

● Assist with preparing reports, notices, and correspondence.

● Support the Property Manager with daily operational tasks and special projects.

● Additional projects and duties as assigned.

Qualifications

● High school diploma or equivalent required; Previous property management, leasing, customer service, or administrative experience preferred.

● Strong communication and organizational skills.

● Ability to handle multiple tasks and deadlines in a fast-paced environment.

● Basic knowledge of leasing practices, fair housing regulations, and property operations

preferred.

Physical Requirements

● Ability to walk properties, climb stairs, and inspect units as needed.

● Ability to sit, stand, and use standard office equipment for extended periods.

● Ability to occasionally lift and carry items up to 25 pounds.

Work Environment

● Work is performed in both office and on-site property settings.

● May require occasional evening or weekend availability depending on property needs.

Reports To

Company Administrator and property managers

Pay: $17.00 - $18.00 per hour

Education:

  • High school or equivalent (Required)

Experience:

  • Property leasing: 1 year (Preferred)

License/Certification:

  • drivers license (Required)
