Property Management Assistant

Job Summary
We are seeking a dynamic and proactive Property Management assistant to oversee the daily operations of residential properties, ensuring exceptional resident satisfaction and operational excellence. In this role, you will manage leasing activities, coordinate property maintenance, ensure compliance with Fair Housing regulations, and foster positive relationships with tenants and vendors alike. Responsibilities

  • Oversee all aspects of property operations, including leasing, rent collection, and tenant relations to maximize occupancy and revenue.
  • Manage lease agreements, renewals, and terminations with attention to legal compliance, including Landlord-tenant law and Fair Housing regulations.
  • Coordinate property maintenance and facilities management activities using systems like Yardi or OneSite to ensure properties are well-maintained and compliant with safety standards.
  • Conduct regular property inspections, oversee repairs, and supervise vendors to uphold high standards of property appearance and functionality.
  • Handle legal administrative tasks such as processing contracts, managing legal documentation related to LIHTC (Low-Income Housing Tax Credit) properties, Section 8 programs, and other subsidized housing initiatives.
  • Maintain accurate data entry, filing systems, and records management for all property-related documentation using CMMS or similar software platforms.
  • Provide excellent customer service through effective phone etiquette, conflict management skills, and proactive communication to resolve tenant concerns swiftly.
  • Engage in upselling opportunities by promoting additional services or lease options that benefit tenants while supporting property revenue goals.

Experience

  • Proven experience in property management or real estate administrative roles with a strong understanding of landlord-tenant law and Fair Housing regulations.
  • Familiarity with property management software such as Appfolio and Execel spreadsheets is highly preferred.
  • Experience handling LIHTC compliance, Section 8 housing programs, or other subsidized housing initiatives is a plus.
  • Demonstrated ability in conflict management, negotiation, and contract administration within a property management setting.
  • Strong background in customer service, sales, leasing activities, and facilities management.
  • Office experience involving data entry, filing systems, phone etiquette, and general administrative tasks is essential.
