Property Management Coordinator

Position Overview

Prime 1 Property Management is seeking a highly organized, detail-oriented, and execution-driven Property Management Coordinator to support day-to-day operations within our growing portfolio.

This role works directly alongside our Portfolio Property Manager (LCAM) and is critical to maintaining speed, organization, and operational consistency.

This is not a passive administrative position. You will be responsible for managing communication, coordinating maintenance, supporting leasing activity, and ensuring that tasks are completed efficiently and on time.

The purpose of this role is to create operational leverage so leadership and management can focus on client relationships, compliance, and portfolio growth.

Core Responsibilities

  • Manage and respond to tenant and owner communications in a timely and professional manner
  • Coordinate maintenance requests, vendors, and follow-ups through completion
  • Support the Portfolio Property Manager with day-to-day operational tasks
  • Handle leasing inquiries, pre-screen applicants, and assist with scheduling showings
  • Track and update records in Buildium and internal systems
  • Monitor invoices, payments, and documentation for accuracy and timeliness
  • Assist with collections tracking and administrative workflows

Qualifications

  • Strong communication and organizational skills
  • Reliable, punctual, and detail-oriented
  • Comfortable working with technology and data systems

Preferred

  • Property management, HOA/COA, or real estate experience
  • Familiarity with Buildium or similar platforms
  • Real estate license or LCAM (not required, but a plus)

Growth Path

0–90 days:
Learn systems, support operations, and establish consistency

3–6 months:
Take ownership of leasing coordination and maintenance workflows

6–12 months:
Opportunity to transition into a full-time role supporting portfolio growth, with expanded responsibilities and benefits based on performance
