We're looking for an experienced Proposal Coordinator and Technical Writing professional to become part of our collaborative team. As an integral part of this team, you'll have the opportunity to coordinate with senior technical staff to assist in responding to proposal requests for new projects, while also supporting broader technical communication and document management needs. This position will be based out of our Costa Mesa office.
Responsibilities:
- Organize and help consolidate proposal responses, ensuring consistency in voice, formatting, and presentation.
- Lead and support the development of RFQ and RFP responses, including writing, editing, and proofreading.
- Produce and edit technical documents, reports, narratives, and other client-facing materials with clarity and precision.
- Apply formatting expertise to create polished, brand-consistent documents, templates, and presentations.
- Serve as a document specialist — managing version control, file organization, and document standards across proposal and marketing materials.
- Build collaborative relationships with technical staff to translate complex ideas into clear, compelling written content.
- Help maintain company information, materials.
- Develop and maintain master proposal content libraries, boilerplate language, and reusable technical narratives.
Qualifications:
- Bachelor's degree with a major requiring writing, analytical, and communication skills (English, Communications, Journalism, or Technical Writing preferred).
- 1–3+ years of relevant experience in proposal coordination, technical writing, or document management, with a preference for experience in the architecture, engineering, and/or construction (AEC) industry.
- Proven experience coordinating and managing proposal efforts from kickoff through submission.
- Strong technical writing skills with the ability to translate complex, technical information into clear and accessible content.
- Advanced proficiency in document formatting and design using tools such as Microsoft Word, InDesign, or similar platforms; experience with templates, styles, and master documents strongly preferred.
- Strong organizational, planning, and project management skills with the ability to juggle multiple deadlines and coordinate across various team members.
- Demonstrated ability to write and communicate in a clear and compelling manner, with a strong command of English grammar, editing, and attention to detail.
- Strong work ethic and problem-solving skills with a hands-on, team-oriented attitude.
Pay: $35.00 - $50.00 per hour
