Custom Data Processing, Inc. (CDP) is a premier provider of data management systems and services for the public health community, including the Special Supplemental Nutrition Program for Women, Infants, and Children (WIC). We’re looking for a highly organized, detail-oriented Proposal Coordinator to own end-to-end execution of CDP’s proposal responses, from opportunity kickoff through submission, BAFO, and closeout. This role is the operational backbone of our proposal process, translating RFP requirements into compliant templates, building and defending the response schedule, priming section content for writers and SMEs, and ensuring every submission is on time, on strategy, and consistent with CDP’s voice.

Proposal Process Management

Own the proposal lifecycle from go-decision through closeout
-
Build and maintain the compliance matrix

Configure and manage the workflow for each opportunity

Maintain and update SharePoint as the document of record

Coordinate final production, QA, and submission

Drive responses on compressed timelines

Lead closeout, archiving, and reusable content tagging
Priming Content for Writers

Build pre-structured section templates with requirements, page budgets, and win themes

Seed sections with approved boilerplate and graphic placeholders

Make templates available for direct writer access

Review drafts for compliance, clarity, and CDP voice

Coach writers and keep sections aligned to win strategy

Maintain the proposal content repository for fast reuse
Managing Timelines

Backward-plan the response schedule from the customer due date

Set and enforce standard milestones through ship date

Monitor status and escalate slips early
-
Reinforce schedule expectations through kickoff, reminders, and stand-ups

Provide real-time status upon request

Bachelor’s degree in English, Communications, Marketing, Business, or equivalent experience

2+ years experience in proposal coordination or comparable project coordination

Demonstrated experience managing multiple deadlines in a fast-paced environment

Advanced proficiency in Microsoft Word, Excel, and SharePoint

Strong writing, editing, and proofreading skills

Highly organized, self-motivated, and detail-oriented

Strong ownership and ability to perform under pressure

Experience with government RFPs, RFQs, and RFIs (state and federal)

Familiarity with EBT, WIC, SNAP, or public health procurements

Graphic design or desktop publishing experience (Adobe Creative Suite)

Skilled at translating technical content for general audiences
The salary range for this position is $65,000 - $80,000. Actual compensation within that range is based on factors unique to each candidate during the hiring process. CDP also offers a comprehensive benefits package and opportunities for growth and advancement within the company.
