Proposals & Contracts Specialist

Location: Dubai

Responsibilities
  • Under the direction of the Proposals & Contracts Lead, manage the proposal and quotation response process to develop and deliver a complete, compliant and competitive customer response.
  • Establish positive working relationships with assigned Sales Managers, Business Line Managers, Project Managers and Technical Solutions Specialists.
  • Review RFQ Workbook and process according to standardized work instructions.
  • Assign project and/or quote identification numbers.
  • Prepare cost and price calculations.
  • Provide timely updates to line and service data elements in the designated software portals.
  • Schedule pre bid and award meetings, ensuring all mandatory attendees are available.
  • Moderate and scribe notes during meetings; prepare and distribute meeting notes to all meeting invitees.
  • Coordinate commercial and technical responses from Sales Managers, Technical Solutions Specialists and Business Line Managers; standardize draft responses according to the company proposal guidelines.
  • Proof and edit quotations and proposals to ensure accuracy and completeness of response.
  • Deliver draft responses to Sales Manager for review and approval - make changes as identified after review.
  • Seek assistance from Proposals & Contracts Lead to resolve concerns or challenges with proposal delivery.
  • Deliver final proposal or quotation to Sales Manager for submission to customer.
Requirements
  • Education - Bachelors Degree; preferred fields include Business Administration, Mechanical Engineering, Electronic Engineering, Marketing.
  • Capabilities - Excellent verbal and written English skills; highly proficient in Microsoft Office suite products; highly proficient in working in digital document environments; highly proficient keyboard skills with low error rate; experience in a professional office environment; highly proficient in proof reading and editing.
  • Interests - Ambitious and interested in working on the combination of high technology and commercial conditions.
  • Personal Traits - Ambitious personality, targeting career growth within the ROSEN Organization; proactive, provide fast responses to client requests; liaise with the different stakeholders internally and externally and ensure inputs and outputs are received in a timely manner; high level of personal organization, ensuring all deadlines are met and professional and timely responses are provided to customers at all times.
