PT Administrative Technician - Tourism

ESSENTIAL JOB FUNCTIONS:
Definition: Performs advanced secretarial and administrative duties for the department director and department staff which support the organization’s mission, vision and values.

Essential Job Functions:
  • Responds to telephone calls, screens visitors and refers to appropriate person if necessary
  • Provide detailed information regarding department’s policies and procedures and on various programs
  • Responds to letters and general correspondence of a routine and non-routine nature
  • Maintain appointment schedule/calendars, arrange meetings/conferences and make travel arrangements
  • Operate office equipment including but not limited to telephone, computer, printer, fax and copy machines
  • Prepares payroll and generates a summary of overtime reports
  • Prepare reports
  • Maintains a variety of files and records
  • Conducts research and compiles data
  • Write and track purchase orders requests
  • Compiles reports for regulatory agencies

ADDITIONAL DUTIES:
  • Perform other duties as assigned
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
  • Extensive knowledge of English usage, spelling, grammar, and punctuation
  • Extensive knowledge of modern office methods, procedures, and equipment including computers
  • Extensive knowledge of business letter writing
  • Advanced communication abilities to communicate clearly and concisely, orally and in writing
  • Excellent customer service abilities to work cooperatively with other City staff and outside agencies
  • Ability to interpret and apply administrative and departmental policies, laws, and rules
  • Ability to plan, organize and schedule priorities in the office
  • Ability to maintain confidential and sensitive information
  • Ability to establish and maintain effective working relationships and to communicate with department personnel, City employees and the public
MINIMUM QUALIFICATIONS:
  • Two (2) years as an executive secretary or administrative assistant position or similar level
  • Advanced proficiency in the use of computer software applications: MSWord, Excel, Access and PowerPoint

PREFERENCE:
  • Bilingual in English/Spanish
  • Bachelor’s degree from an accredited college or university
Acceptable Equivalency:
  • Any combination of experience and training that would likely provide the required knowledge, skills and abilitie

Conditions of Employment:
  • High School or GED
  • Valid Driver’s License
  • Proof of Citizenship and /or eligibility to work in the U.S. legally
  • Drug Screen
  • Background investigation
  • All City employees are required in the course and scope of their employment to provide services for the benefit of the public during emergency situations that threaten the safety of Kingsville citizens. City employees must be able to work immediately before, during, and/or immediately after an emergency in accordance with the City of Kingsville Emergency Services Policy No. 881 effective August 28, 2006.
  • Employee Behavior and Conduct: City employees shall conduct themselves in a professional manner and shall exhibit and extend such professional conduct appropriate for the circumstances to those with whom they come into contact both internally and externally during the performance of their duties. Machines, Tools, Equipment and Work Aids:

The essential functions of this position require the daily use of a computer, telephone, Fax machine, printer, calculator, adding machine, copy machine, and various resource materials.

The essential functions of this position are performed in an office environment.
