Part-Time Assistant Tennis Center


JOB SUMMARY

The purpose of this position is to provide administrative support in the daily operation of the Tennis Center. Employees in this position prepare and process a variety of reports, forms, and correspondence, order supplies and materials; and file and maintain departmental records.

ESSENTIAL JOB FUNCTIONS

  • Performs front desk operations and performs customer service to the public.

  • Open and/or close the facility, check in members and non-members. Answers the telephone; receives visitors; directs visitors to appropriate staff; answers inquiries from the public.

  • Types, processes and prepares correspondence, charts, forms, reports.

  • Performs tennis court maintenance as directed. Maintains cleanliness of the facility and facility grounds.

  • Assist in all tennis center special events.

  • Maintains schedules and calendars; makes appointments; prepares meeting schedules.

  • Notifies appropriate staff of citizen complaints; updates complaint reports and provides copies to staff.

  • Researches and compiles information for reports; enters data into computer.

  • Prepares or oversees the preparation of bills to be paid, invoices, and checks; collects money; makes deposits as needed.

  • Files office correspondence and other records; maintains records of various kinds of work done by the department; opens new files; closes files for storage; updates file index.

  • Maintains inventory of supplies; orders or requisitions supplies as needed; inputs and updates purchase orders; orders parts for vehicles and equipment as needed; places calls for maintenance of equipment.

  • Processes incoming and outgoing mail; distributes mail.

  • Attends meetings and workshops as requested and required.

  • Operates a personal computer, adding machine, calculator, copier, band radio, dictating equipment, telephone, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.

  • Performs other related duties as requested, required and assigned.

Minimum Qualifications

Education and Experience:
High school education or GED.

Licenses or Certifications:
None.

Special Requirements:
None.

Knowledge, Skills and Abilities:
  • Knowledge of basic maintenance and cleaning tools, equipment, methods and products.
  • Knowledge of customer service principals.
  • Knowledge of safety procedures relevant to assigned job duties.
  • Skill in gathering information before taking action
  • Skill in using tools and equipment required to perform job duties.
  • Skill in performing basic math functions and measuring accurately.
  • Ability to listen.
  • Ability to build rapport.
  • Ability to quickly learn new technology and use of new tools/equipment.
  • Ability to pay attention to details.
PHYSICAL DEMANDS

The work is light work. The employee is frequently required to apply 10 pounds of force to move objects. The employee is occasionally required to exert up to 20 pounds of force to move objects. Additionally requires: balancing, climbing, grasping, handling, hearing voices, kneeling, lifting, mental acuity, pulling, pushing, reaching, speaking, standing, stooping, expressing ideas by the spoken word, visual acuity in data/color, or measurements, and walking. Tasks may require the ability to: sit for extended periods of time at a keyboard or workstation.

WORK ENVIRONMENT

Work is performed both indoors and outdoors, where essential functions may require exposure to adverse environmental conditions, such as dirt, dust, pollen, wetness, humidity, temperature/weather extremes, or traffic hazards. Work is performed in a relatively safe, secure, and stable work environment.
