Key Responsibilities

Manage and organize the CEO's calendar, including scheduling and confirming meetings, and internal events
- Triage and prioritize the CEO's email inbox, draft responses when appropriate, and flag urgent matters
- Schedule in-person and virtual appointments, including coordination with clients, attorneys, vendors, and referral partners
- Coordinate events for the CEO and the Firm, including internal meetings, firm outings, CLEs, and community or marketing events
- Prepare and edit documents, presentations, and reports using Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Maintain task lists and follow-up systems to ensure the CEO's priorities and deadlines are consistently met
- Assist with travel arrangements (air, hotel, ground transportation) and itineraries for business trips
- Handle confidential information with discretion and maintain a high level of professionalism at all times
- Support the CEO with occasional non-firm personal or administrative tasks as needed
- Collaborate with team members and departments to streamline communication and workflows for the CEO
- Take initiative to identify and solve problems before they escalate, bringing solutions—not just issues—to the table
Requirements

Minimum of 1 year of office or administrative experience (professional services or legal environment preferred but not required)
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Ability to multi-task, prioritize, and manage time effectively in a fast-paced environment
- Strong written and verbal communication skills with a polished, professional demeanor
- High attention to detail and strong organizational skills
- Adaptable, resourceful, and comfortable with changing priorities and last-minute requests
- Demonstrated ability to work both independently and as part of a team
- High level of integrity and discretion when handling sensitive and confidential information
