The Purchase Assistant will support the purchase team in sourcing materials, preparing Purchase Orders (POs), coordinating with vendors, and ensuring timely availability of fabrics, trims, and production-related items. Should possess working knowledge of NTmain software.
Key Responsibilities:
A. Purchase Order (PO) Creation & System Handling
- Independently prepare accurate Purchase Orders (POs) as per company formats.
- Enter and manage all PO data in NTmain software.
- Ensure PO details (price, quantity, specs, timelines) are correct before approval.
- Track PO status and update records in NTmain regularly.
B. Purchasing & Sourcing
- Support purchase team for Source fabrics, trims, packing materials, and production consumables.
- Collect quotations, prepare comparison sheets, and assist in negotiations in coordination with his supervisors.
- Maintain and update vendor lists.
C. Vendor Coordination
- Follow up with suppliers for timely material delivery.
- Handle queries related to PO, dispatch, and delivery schedules.
- Communicate delays or issues to the purchase manager.
D. Documentation & Reporting
- Maintain purchase records, delivery notes, and invoice documents.
- Support GRN (Goods Receipt Note) process and coordinate with the accounts team.
- Prepare weekly/monthly purchase status reports using Excel / NTmain.
Skills & Competencies
- Good knowledge of preparing and managing Purchase Orders (POs).
- Hands-on experience with NTmain software (mandatory or preferred).
- Understanding of garment materials like fabrics, trims, and accessories.
- Good communication, negotiation, and follow-up skills.
- Proficiency in MS Excel and good documentation skills.
Qualifications & Experience
- Minimum Graduate with 1–3 years of experience in garment manufacturing purchase.
- Experience with NTmain software will be an added advantage.
