Key responsibilities
- Vendor and supplier management: Research, evaluate, and select suppliers based on quality, cost, and reliability. Negotiate contracts and maintain positive relationships with vendors.
Procurement and purchasing:
- Identify the school's needs by coordinating with different departments.
- Process purchase orders and track orders to ensure timely delivery.
- Monitor stock levels and place orders as needed.
- Verify received goods against orders and inspect for quality.
Budget and cost control:
- Ensure all purchases comply with the school's budget.
- Prepare cost analyses and reports on purchases.
- Implement strategies for cost optimization.
Inventory and record-keeping:
- Maintain updated records of all purchased items, delivery information, and invoices.
- Coordinate with warehouse staff for proper storage of items.
Reporting and strategy:
- Develop and implement procurement strategies.
- Generate reports on purchasing activities to track performance and KPIs.
Key skills and qualifications
- Proven experience in purchasing, with strong vendor sourcing and evaluation skills.
- Excellent negotiation and communication skills (written and verbal).
- Strong organizational skills and attention to detail.
- Proficiency in using purchasing software and standard office software.
- Analytical skills for cost analysis and reporting.
- Ability to understand supply chain procedures.
- Knowledge of school operations and compliance with educational codes and regulations is a plus.
